# Invoice and Quote

## Overview

Invoices and quotes are commercial documents. Clarity prevents delays, disputes, and rework.

## When to Use

- Client invoices
- Project quotes and estimates
- Statements of work with pricing
- Pro-forma invoices or payment requests

## Essential Elements

**Quote / Estimate**
- Unique quote number and validity period
- Scope summary and assumptions
- Line items with quantities and rates
- Taxes, discounts, and total
- Payment terms and next steps

**Invoice**
- Unique invoice number and dates (issue + due)
- Seller and buyer details
- Line items matching agreed scope
- Amount due and payment instructions
- Reference to related quote/PO/contract when applicable

## Principles

- Make the amount due and due date impossible to miss
- Align descriptions with what the client recognizes
- State assumptions and exclusions on quotes
- Keep branding professional but secondary to clarity
- Ensure totals and tax calculations are correct
