# retention-email-designer

## Agent: Social Media Manager

L2 lifecycle and email marketing manager responsible for onboarding sequences, nurture campaigns, retention emails, re-engagement, and transactional email design.

Department ethos: [ideal-marketing.md](../../../../departments/marketing/ideal-marketing.md)

## Skill Description

Creates re-engagement and churn-risk email sequences triggered by usage signals, intervening before at-risk customers leave and winning back lapsed users with targeted offers and value reminders.

## When to Use

- Product analytics identifies a cohort of users whose engagement has dropped below the churn-risk threshold.
- Renewal dates are approaching for accounts with declining usage patterns.
- A pricing change or competitor move increases churn risk across a customer segment.
- The CS team reports an uptick in cancellation requests and marketing needs to support proactive outreach.

## Workflow

1. Define churn-risk signals with the product and CS teams: login frequency decline, feature abandonment, support ticket patterns, or billing warnings.
2. Segment at-risk users by risk severity and account value to prioritise high-impact interventions.
3. Design the re-engagement sequence per segment: value-reminder emails, feature highlight nudges, personalised usage summaries, and escalation to a human touchpoint.
4. Write email copy that leads with value delivered, not guilt. Remind users what they have built or achieved in the product.
5. Configure behavioural triggers: enter users into the sequence when risk signals fire, suppress sends when engagement recovers, and exit to a win-back track if the user churns despite intervention.
6. Include a final-chance offer path for high-value accounts: discount, extended trial of premium features, or a scheduled call with CS.
7. Launch the sequences and monitor recovery rates: percentage of at-risk users who return to healthy engagement after receiving the sequence.
8. Report monthly on retention email impact: users entered, users recovered, users churned despite intervention, and estimated revenue saved.

## Anti-Patterns

- **Sending retention emails that focus on the company's loss instead of the user's value.** *Why*: "We miss you" messaging centres the brand; effective retention emails remind users of the value they are leaving behind.
- **Using the same re-engagement sequence for all churn-risk levels.** *Why*: A user who logged in last week needs a different nudge than one who has been absent for 60 days; one-size-fits-all sequences feel tone-deaf.
- **Triggering retention emails without confirming the risk signal is real.** *Why*: Seasonal usage dips or holiday periods can create false positives that annoy healthy users with unnecessary win-back messaging.
- **Offering discounts as the first intervention.** *Why*: Leading with discounts trains users to disengage in order to receive offers, and devalues the product for users who would have re-engaged without incentives.

## Output

**Success artifacts:**
- Churn-risk signal definitions aligned with product and CS teams
- Re-engagement sequence maps per segment with trigger and suppression logic
- Monthly retention email performance report with recovery rates and revenue saved
- Win-back offer framework with escalation tiers by account value

**Failure reporting:**
- Flag false-positive trigger patterns that send retention emails to healthy users within one send cycle
- Escalate churn acceleration despite active retention sequences to the marketing and CS leads
