# HR vendor management

Select, contract, and manage HR vendors across the vendor lifecycle — from RFP and evaluation through contract negotiation, onboarding, ongoing performance management, and renewal or offboarding decisions.

## Supported tasks

- Running RFP processes to evaluate and select HR vendors
- Building vendor evaluation criteria and scorecards for HR tool/service categories
- Negotiating HR vendor contracts, pricing, and service-level agreements
- Managing ongoing vendor performance and relationship health
- Consolidating a fragmented HR vendor stack to reduce redundancy and cost
- Assessing vendor data security and compliance practices before onboarding
- Planning vendor transitions and data migration when switching providers
- Building a vendor governance framework with clear ownership and review cadence
- Managing staffing agency and background check vendor relationships specifically
- Benchmarking vendor pricing against market rates
- Handling vendor underperformance and remediation or exit decisions
- Documenting vendor contracts, renewal dates, and key terms centrally

## Key prompts

### Selection and evaluation

1. "Build an RFP and evaluation criteria for selecting a vendor for [HR tool/service category]."
2. "Design a vendor evaluation scorecard comparing [Vendor A], [Vendor B], and [Vendor C] on cost, functionality, and support quality."
3. "What data security and compliance questions should we ask before onboarding [type of vendor] given the employee data they'll access?"
4. "How should we weigh a cheaper vendor with weaker support against a pricier vendor with stronger implementation track record?"

### Contracting and negotiation

1. "What contract terms and SLAs should we prioritize when negotiating with [vendor type]?"
2. "Draft negotiation talking points for renewing our contract with [vendor] given [usage/performance context]."
3. "Benchmark this vendor's pricing proposal against typical market rates for [service category]."
4. "What exit and data-portability clauses should we insist on before signing with [vendor]?"

### Ongoing management

1. "Design a vendor governance framework with clear ownership, review cadence, and escalation paths for our HR vendor stack."
2. "How should we handle underperformance from [vendor], including remediation steps before considering an exit?"
3. "Build a vendor performance review template to use at [quarterly/annual] business reviews."
4. "What early warning signs suggest a vendor relationship is deteriorating before it becomes a formal escalation?"

### Consolidation and transition

1. "Assess our current HR vendor stack for redundancy and consolidation opportunities."
2. "Plan a vendor transition and data migration approach for switching from [current vendor] to [new vendor]."
3. "Document our HR vendor contracts, renewal dates, and key terms in a central tracking format."
4. "Draft a communication plan for employees affected by a vendor transition, such as a new benefits or payroll provider."

## Tips

- Evaluate vendors against the specific use case and scale you actually need, not the most feature-rich option — over-buying capability adds cost and complexity without proportional value.
- Negotiate SLAs and exit terms as carefully as pricing; a vendor that's hard to leave becomes leverage against you later.
- Assess data security rigorously for any vendor touching employee or candidate data — HR vendor breaches are a significant and underappreciated compliance risk.
- Set a recurring review cadence for major vendors rather than only revisiting the relationship at renewal time, when leverage is lower.
- Keep a central, current record of all vendor contracts and renewal dates — missed renewal deadlines and forgotten auto-renewals are a common, avoidable cost problem.
