# Write Proposal or RFP Response

Produce compelling, client-centric proposals and RFP responses that win engagements by demonstrating deep understanding of the client's problem and a credible path to solving it.

## Overview

Great proposals lead with the client's problem, not the vendor's credentials. Apply this skill to produce structured proposals or RFP responses that are tailored, evidence-based, and commercially clear.

## Proposal vs. RFP Response

**Proposal** (proactive): VAMFI initiates based on a qualified opportunity. Structure around win themes.

**RFP Response** (reactive): Client has issued a formal tender. Must address all stated requirements and often follow a specified structure. If the client has specified a structure, follow theirs exactly — do not impose VAMFI's structure.

## Proposal Writing Process

### Step 1: Define Win Themes

Before writing, identify 2-3 win themes — the core reasons VAMFI should win this engagement:
- "We have deeper experience in [domain] than any competitor"
- "Our [methodology/tool/approach] uniquely addresses [client's specific challenge]"
- "We will deliver faster because [specific reason]"

Every section of the proposal should reinforce at least one win theme.

### Step 2: Write the Executive Summary

The executive summary is the most-read section. Structure it as:
1. Paraphrase the client's problem (shows you listened)
2. State the proposed solution in 2-3 sentences
3. Quantify the expected outcomes (time saved, cost reduced, revenue enabled)
4. State why VAMFI is the right choice (win theme 1 + 2)
5. State the next step (not "contact us" — be specific)

### Step 3: Build the Full Document

Standard proposal structure:

### Step 4: Pricing and Commercial Section

For T&M engagements:
- State day rates or role rates
- Estimate effort per phase in days
- Cap exposure with a not-to-exceed total

For fixed-price:
- State total price per phase
- List assumptions the price depends on
- Define change control process

For outcome-based:
- Define the measurable outcome
- State the fee and the measurement methodology

## RFP Response Additions

When responding to a formal RFP:
- Address every mandatory requirement explicitly (use the RFP's numbering)
- Add a compliance matrix: table mapping each RFP requirement to your response section
- Follow the specified page limits and formatting requirements
