# Dispatch Software And Load Boards

> Use this skill when the user asks about trucking dispatch software — McLeod, TMW (Trimble), Tailwind, Truckbase, AscendTMS — vs load boards — DAT, Truckstop, 123Loadboard, Convoy, Uber Freight. Covers the workflow (find load, book, dispatch, run, settle), how dispatch software integrates with ELDs + accounting + customer EDI, and what small fleets vs larger fleets typically use.

# Dispatch Software + Load Boards

This is the operational heart of a trucking company — finding loads + matching them to trucks + tracking them to delivery + settling pay.

## The dispatch workflow

```
1. Find a load            (load board OR existing customer)
2. Book the load           (lock in rate + pickup time)
3. Assign to a driver      (dispatch software)
4. Send dispatch info      (driver app, EDI to broker)
5. Driver runs the load   (ELD tracks; in-cab updates)
6. Deliver the load        (POD signed, EDI 214 status update)
7. Submit invoice          (EDI 210 or paper)
8. Get paid                (factor or wait for broker)
9. Settle driver pay       (against payroll)
10. Settle truck costs    (fuel, tolls, deadhead)
```

## Load boards (where loads come from)

### DAT Load Board (largest)
- 25,000+ trucks and 600,000+ loads per business day
- Most "spot market" loads (one-time freight)
- Subscription: $40-300/month depending on tier
- Includes rate analytics ("what's a fair rate Chicago → Atlanta?")
- Integrates with most dispatch software

### Truckstop.com Load Board
- Second-largest by volume
- Similar pricing to DAT
- Truckstop also runs RMIS (broker monitoring for credit risk)
- Strong in spot truckload

### 123Loadboard
- Smaller, cheaper ($25-50/month)
- Often used by owner-operators
- Subset of DAT-equivalent functionality

### Uber Freight, Convoy, NEXT Trucking (digital brokers)
- App-based, real-time pricing
- Lower margins for brokers (typically; competition)
- Strong in flatbed + dry van segments
- Some carriers don't book here because rates can be lower than DAT spot

## Dispatch software (where loads get managed)

### McLeod (large carrier)
- Industry-leading TMS (Transportation Management System)
- Used by 250+ truck fleets
- $50-200/seat per month
- Robust EDI, accounting, fleet management
- Steep learning curve

### TMW / Trimble (large/mid)
- Similar tier to McLeod
- Strong for mixed-mode fleets (trucking + intermodal)
- Premium pricing

### Tailwind (small-mid)
- Cloud-based, modern UI
- $50-150/seat per month
- Easier onboarding than McLeod
- Good for 25-100 truck fleets

### Truckbase (small-mid)
- Cloud-based, focused on small fleets
- $50-100/seat per month
- Good for 5-50 truck fleets
- Integrates with ELDs + load boards

### AscendTMS (small)
- Free tier for owner-operators
- Cloud-based
- Premium tiers for larger fleets

### Other options
- TruckIt — small fleets
- Sylectus — large fleets
- Manhattan Associates — enterprise

## What dispatch software does

Beyond just "assign a load to a truck":

- **EDI integration** — automated 204 (load offer) / 990 (acceptance) / 214 (status update) / 210 (invoice) / 997 (functional ack) cycles with brokers and shippers
- **ELD integration** — pulls duty status, predicts arrival times
- **Driver app** — sends load info, captures POD, scan documents
- **Accounting integration** — QuickBooks, Sage, or built-in
- **Customer portal** — shippers track their loads
- **Settlement** — calculates pay, fuel surcharges, deductions
- **Compliance** — driver qualification, IRP/IFTA reporting, IFTA mileage
- **Maintenance schedule** — preventive maintenance flagging
- **Driver scoreboard** — speed, hard events, safety

## Carrier vs broker software

These are different categories:

- **Carrier (asset-based) software** = McLeod, TMW, Tailwind, Truckbase — for fleets that OWN trucks
- **Broker (non-asset) software** = Aljex, TransPlus, Dispatch — for brokers who don't own trucks but coordinate freight

A carrier broker (hybrid) uses both or a system that does both.

## Small fleet ($25K-50K annual software spend)

Typical stack for 25-truck fleet:
- DAT Load Board: $300/month
- Tailwind or Truckbase: $1,000/month
- ELD (e.g., Samsara, Motive): $1,200/month
- Accounting (QuickBooks): $80/month
- Factoring (if used): % of invoices

Total: ~$2,500-3,500/month + factoring.

## Large fleet ($100K+ software spend)

For 100-truck fleet:
- DAT or direct broker contracts: $500-1,000/month
- McLeod or TMW: $7,000-10,000/month
- Samsara/Geotab ELD: $3,000-5,000/month
- EDI service (Cleo, OpenText): $1,500-3,000/month
- Compliance software: $1,000-2,000/month

Total: ~$15K-25K/month.

## How X3 fits

X3 is **NOT a dispatch system**. We're a DOT compliance layer that sits alongside dispatch + ELD systems. We pull from:

- ELD providers (for HOS data)
- Dispatch software (load completion data via EDI)
- Drivers (for document uploads via /driver/* portal)
- Vendors (background checks, drug tests, MVRs)

If a carrier asks "should we use McLeod or Tailwind?" — that's a different question than "should we use X3?" The answer is: both, for different jobs.

## Common mistakes

1. **Buying enterprise software for a small fleet.** McLeod is overkill for a 15-truck fleet; Tailwind or Truckbase is right.
2. **Choosing software without ELD integration.** ELD data is the heart of operations; siloed data = double-entry pain.
3. **Not budgeting for accounting/EDI integration.** "It comes with the software" — partially true, but real EDI work has integration cost.
4. **Driver app from one vendor, ELD from another.** Drivers shouldn't manage 3 apps.

## Where this fits in X3

X3 is **complementary** to dispatch software. Common customer flow:
- 25-50 truck carrier uses Tailwind for dispatch + Samsara for ELD + X3 for compliance
- X3 pulls Samsara HOS data + Tailwind load completion data, feeds compliance scoring

For mid-large carriers using McLeod: X3 typically integrates via EDI or API.

If asked: "What dispatch software should I use?" — pivot to: "What's the size of your fleet, are you asset-based or broker, and what's your tech budget?"
