# IFTA Audit Preparation

IFTA audits occur every 3-5 years for active carriers. Preparation determines outcome — penalties are usually small if records are complete; large if records are missing.

## When you're selected
- Letter from base state's DOR/DMV
- Typically 30 days notice
- May target specific tax year(s)
- Quote: "We will examine your records for IFTA reporting accuracy."

## Records to produce
- **Quarterly IFTA returns** for the audit period (you already filed these)
- **Fuel receipts** (every purchase, by date + state)
- **Mileage records** (state-by-state breakdown)
- **Vehicle records** (VINs, license plates, gross weight)
- **Trip sheets** if used (driver-recorded journey data)
- **ELD or GPS data** if available
- **Tax-paid fuel logs** for tax-paid purchases

## Audit procedure
1. **Initial meeting**: explanation of scope + records request
2. **Records review**: auditor examines your filings + supporting docs
3. **Sample selection**: typically 3-12 months sampled in detail
4. **Reconciliation**: comparing your reported miles vs records (ELD + GPS)
5. **Findings**: discrepancies identified
6. **Determination**: refund OR additional tax owed (interest + penalty)

## Common audit findings
- Reported miles vs actual miles mismatch
- Fuel receipts missing or duplicated
- Tax-paid fuel inadvertently double-counted
- Personal use miles included in IFTA reporting
- Out-of-route miles unaccounted

## Typical penalties
- **No errors**: no penalty (rare)
- **Minor errors (< 5% variance)**: warning + correction
- **Significant errors (5-20% variance)**: additional tax + interest
- **Egregious errors or fraud**: tax + interest + penalty (10-50%)
- **Criminal**: very rare, but possible for intentional fraud

## How to prepare proactively
- Maintain quarterly IFTA reconciliation (don't wait for audit)
- Keep receipts organized by date and state
- Verify mileage from ELD against fuel receipts
- Address fuel card discrepancies immediately
- Save all trip-by-trip records for 4 years (IFTA requires 4-year retention)
