Sales Heepsy

Heepsy Platform Help

Helps the user set up and get the most out of Heepsy — influencer discovery, analytics, campaigns, CRM, and Shopify integration.

Step 1 — Gather context

If references/learnings.md exists, read it first for accumulated knowledge.

Ask the user:

1. What do you need help with in Heepsy?

   • A) Finding influencers (search, filters, discovery)
   • B) Analyzing influencer profiles (analytics, authenticity)
   • C) Setting up a campaign (marketplace, briefs)
   • D) Managing influencers (CRM, lists, boards)
   • E) Shopify/WooCommerce integration
   • F) Exporting data or bulk outreach
   • G) Understanding credits and billing
   • H) Something else — describe it

2. Which Heepsy plan are you on?

   • A) Free
   • B) Starter ($49/mo)
   • C) Plus ($169/mo)
   • D) Advanced ($269/mo)
   • E) Enterprise
   • F) Not sure / haven't signed up yet

3. Which social platforms do you need?

   • A) Instagram
   • B) TikTok
   • C) YouTube
   • D) Twitch
   • E) Multiple — which ones?

If the user's request already provides most of this context, skip directly to the relevant step. Lead with your best-effort answer using reasonable assumptions (stated explicitly), then ask only the most critical 1-2 clarifying questions at the end.

Step 2 — Route or answer directly

If the request is about broader influencer marketing strategy rather than Heepsy-specific configuration, route:

• Choosing between influencer platforms → /sales-influencer-marketing
• Creator vetting framework (not Heepsy-specific) → /sales-influencer-marketing
• Influencer outreach templates → /sales-influencer-marketing
• Campaign ROI measurement strategy → /sales-influencer-marketing
• Shopify ecommerce strategy → /sales-checkout
• Ad campaign strategy → /sales-retargeting or /sales-b2b-advertising

Otherwise, answer directly from the Heepsy reference below.

Step 3 — Heepsy platform reference

Read references/platform-guide.md for detailed module documentation, pricing, integrations, and data model.

You no longer need the platform guide details — focus on the user's specific situation.

Step 4 — Actionable guidance

Based on the user's specific question:

1. Discovery setup — optimal filter combinations for their niche, platform, and audience
2. Campaign launch — marketplace brief template, creator selection criteria, timeline
3. Analytics interpretation — how to read authenticity scores, what engagement rates to target, red flags
4. CRM workflow — board structure, pipeline stages, team collaboration setup
5. Shopify connection — integration setup, tracking configuration, attribution reading
6. Credit optimization — how to maximize value from their plan's credit allowance

Gotchas

Best-effort from research — review these, especially items about plan-gated features and pricing that may be outdated.

• Credits deplete fast during research phases. Each analytics report view costs 1 credit. When researching a new niche, you can burn through 50+ credits in a single session. Always pre-filter aggressively using free search filters before opening detailed profiles.

• Advanced features are plan-gated. Audience demographics, authenticity scores, and contact information require Plus ($169/mo) or higher. Shopify integration requires Advanced ($269/mo). The Free and Starter plans are limited to basic search and a small number of analytics reports.

• Database includes inactive or outdated profiles. Some profiles in the database may have outdated metrics or belong to inactive creators. Cross-check recent activity (last post date, posting frequency) before reaching out.

• Location filter accuracy varies. G2 reviews report that location filters can be less accurate for creators outside Europe, as Heepsy was originally built with a European focus (founded in Bilbao, Spain).

• No native CRM integrations. Heepsy does not connect to HubSpot, Salesforce, or other CRMs. You must export data and import into your CRM manually.

• No built-in email sending. Unlike Modash or Influencity, Heepsy does not send outreach emails. You export contact info and use external tools (Mailshake, Lemlist, etc.) for outreach.

• No public API. There is no documented API for programmatic access. All work must happen through the web UI.

• Minimum follower thresholds. Heepsy's database focuses on influencers with 5,000+ followers. If you need nano-influencers under 5K, you'll need to supplement with manual discovery or other tools.

• Marketplace response depends on your brand appeal. Publishing a campaign doesn't guarantee creator applications. Competitive compensation, clear briefs, and appealing products get more applicants.

• Self-improving: If you discover something not covered here, append it to references/learnings.md with today's date.

2. Recommends adding engagement rate filter (>3%) and authenticity filter (Plus plan)
3. Explains how to use lookalike search if they have a reference influencer
4. Advises on credit-efficient workflow: preview in search results, only open top candidates Result: Targeted search setup with credit-saving strategy

Example 2: Launch a product gifting campaign

1. Sets up marketplace campaign brief: gifting type, product details, deliverables expected
2. Recommends targeting criteria for applicant filtering
3. Explains CRM board setup to track gifting pipeline (applied → accepted → shipped → posted)

Troubleshooting

Credits running out too fast

Symptom: You're burning through your monthly credit allowance before finding enough creators Cause: Clicking into analytics reports for every search result instead of pre-filtering Solution: Use all available free search filters first (category, location, followers, engagement rate) to narrow to a focused shortlist. Only open detailed analytics for your top 20-30 candidates. If you consistently need more credits, evaluate whether upgrading plans is cheaper than the time spent being conservative with credits.

Inaccurate location or demographic data

Symptom: Influencers show up in search results for a location they don't match, or audience demographics seem off Cause: Heepsy's location accuracy varies by region — stronger in Europe (where the platform originated) and sometimes less precise for creators in other regions Solution: Cross-reference the creator's bio, content, and recent post locations. Check their audience demographics (Plus plan) to verify the audience is where you need it. Use the creator's social profile directly to confirm location before reaching out.

Marketplace campaign getting few applicants

Symptom: Published a campaign but very few creators are applying Cause: Campaign brief may be unclear, compensation too low, or product not appealing enough to creators Solution: Make the brief specific about deliverables and compensation (creators skip vague briefs). Ensure compensation is competitive — check rate benchmarks in /sales-influencer-marketing. Add high-quality product photos. Consider running the campaign as paid rather than gifting-only to attract more interest.
