Conflict Resolution

Interpersonal conflict follows predictable physiological and psychological patterns. Understanding those patterns -- flooding thresholds, reactance cycles, the distinction between positions and interests, and the neuroscience of threat response -- allows this skill to produce plans that actually work instead of advice that sounds reasonable but collapses under real emotional pressure. This skill draws from Gottman's Sound Relationship House research, Fisher and Ury's principled negotiation methodology, Nonviolent Communication (NVC) frameworks, and established de-escalation protocols. It does not assess relationship health, diagnose relational patterns, or substitute for licensed therapeutic support.

When to Use

Use this skill when:

• A user is in a specific disagreement with a partner, family member, or friend and wants a structured path toward resolution -- for example, a fight about household responsibilities, a disagreement about how to parent, a conflict about money habits, or a recurring argument about time spent with extended family
• A user is emotionally activated and needs immediate de-escalation strategies before a conversation deteriorates further
• A user wants to initiate a difficult conversation they have been avoiding and needs a script or structure to do it without provoking a defensive reaction
• A user describes a repeating argument where both people end up entrenched in the same positions without reaching any new understanding
• A user wants to understand the difference between what they are saying they want and what they actually need from the other person
• A user has already had a blowup and wants to repair the rupture before too much damage accumulates
• A user is preparing for a high-stakes family conversation -- about finances, living arrangements, a major life change, or a long-standing grievance -- and wants a deliberate, methodical approach
• A user wants help translating their feelings into language that does not trigger defensiveness in the other person

Do NOT use when:

• The user describes a pattern suggesting emotional, physical, or financial abuse, coercive control, or intimidation -- instead, acknowledge what you are hearing, do not provide a "both sides" negotiation framework, and note that safety planning and professional resources are appropriate (this is outside this skill's scope entirely)
• The user wants an assessment of whether their relationship is healthy, whether they should stay or leave, or whether their partner's behavior is "normal" -- use relationship-assessment skills or recommend professional evaluation
• The conflict involves a workplace dynamic -- manager-report disputes, team conflicts, or HR-level issues -- use business communication or workplace mediation skills instead
• The conflict has legal dimensions -- custody disputes that require court involvement, disputes over property in a separation, or contract-based disagreements -- use legal-civic skills
• The user wants to process grief, trauma, or mental health symptoms that are presenting as relationship friction -- the underlying issue is not a conflict to be negotiated
• The user describes a third party requesting mediation between two other people, neither of whom is the user -- this skill is for the person in the conflict, not an outside mediator

Process

Step 1: Assess the Conflict State Before Doing Anything Else

The single most common mistake in conflict resolution is attempting structured dialogue when one or both parties are physiologically flooded. Gottman's research identifies a heart rate above approximately 100 beats per minute as the threshold at which the prefrontal cortex -- the part of the brain capable of empathy, nuanced listening, and collaborative problem-solving -- goes offline. Attempting negotiation above this threshold produces worse outcomes than doing nothing.

• Ask the user to describe the current emotional temperature on a 1-10 scale, where 1 is completely calm and 10 is the angriest or most distressed they have ever felt
• A score of 7 or above means physiological flooding is likely -- branch immediately to Step 2 (de-escalation) before any other work
• A score of 4-6 means the user is emotionally engaged but likely capable of processing -- proceed to Step 3 with a lighter version of de-escalation framing
• A score of 1-3 means the user is calm and ready -- proceed directly to interest mapping in Step 3
• Also assess: Is the other person currently present and activated? If the fight is happening right now, the entire plan changes -- immediate de-escalation is the only viable intervention
• Gather the following: who the conflict is with, the relationship type (partner, parent, sibling, close friend), the surface-level issue, how long this specific conflict has been active, and what attempts have already been made to resolve it
• Flag if this is a first-time conflict around a specific issue or a recurring argument -- recurring arguments require addressing the underlying pattern, not just the current instance

Step 2: Apply the De-Escalation Sequence for Flooded States

Physical separation is not avoidance -- it is a physiological reset that makes resolution possible. Without a genuine cool-down, both parties are neurologically incapable of hearing each other accurately. The research consensus is that 20-30 minutes of calm activity is the minimum time needed to return heart rate to baseline. Anything shorter is inadequate for most people.

• Initiate the pause with a commitment to return: A pause without a scheduled return time almost always becomes avoidance. Provide the user with a specific script: "I care about working this out with you. I'm too activated right now to do it well. Can we take 30 minutes and come back at [specific time]?" The time must be named -- not "later" or "soon"
• Physical separation from the other person is mandatory during the break: Being in the same room but silent is not a de-escalation pause -- it is a tension-holding exercise that maintains physiological activation
• During the break, the user should engage in calming activity, not rumination: Physical movement (walking, light exercise) discharges cortisol and adrenaline more effectively than sitting still. Journaling is acceptable if the user journals about something other than the argument -- replaying the argument in one's mind maintains the stress response rather than ending it
• Do not rehearse arguments or collect evidence during the break: This is extremely common and counterproductive. If the user finds themselves composing their rebuttal, redirect them to a breathing or movement practice
• Return at the agreed time without fail: If the other person does not return, the user can gently initiate: "We said we'd talk at [time]. I'm ready when you are." One missed return time should be noted but not weaponized
• Warm re-entry language: When the conversation restarts, the first words matter. Provide the user with a re-entry line: "I'm glad we gave ourselves that time. I want to understand this better and figure this out with you." This signals collaborative intent before any content is discussed
• If 20-30 minutes is not enough: Some people require longer to de-escalate -- sometimes 24 hours. This is not failure. It means the issue is significant enough that the nervous system needs more time. The commitment to return is the important variable, not the speed

Step 3: Map Positions Versus Interests -- The Core Diagnostic Step

The position-interest distinction, developed by Fisher and Ury at the Harvard Negotiation Project, is the structural core of this entire framework. Without it, the conversation circles the same argument indefinitely. Positions are what each person says they want. Interests are why they want it -- the underlying needs, fears, values, and concerns that drove the position in the first place.

• Help the user identify their own position and interest first: It is impossible to negotiate well when you do not know your own underlying need. Ask: "What are you saying you want?" Then ask: "Why do you want that? What would it give you or protect?" Repeat the "why" question 2-3 levels deep to reach the actual interest
• Common interests behind typical relationship positions: A position of "I want more time together" usually contains interests related to feeling valued, connected, and prioritized. A position of "I want you to stop spending money on that" usually contains interests around security, fairness, or different risk tolerances. A position of "I need you to apologize first" usually contains interests around feeling hurt, being seen, and having dignity restored
• Help the user hypothesize the other person's interest: The user does not know for certain what the other person needs -- but they can make an informed hypothesis based on what they know. Frame this explicitly: "Based on what you know about your partner, what do you think they actually need here, underneath what they are saying?" This builds empathy before the conversation starts
• Distinguish between interests and values: Some conflicts are not about interests that can be traded against each other -- they are about values that cannot be split. Conflicts about childrearing philosophy, religious practice, or fundamental lifestyle choices often have value differences at their core, not just competing interests. Flag this distinction -- it changes the resolution approach significantly
• Document the position-interest map in writing: Write out both people's positions and hypothesized interests explicitly before moving to dialogue. This makes the shift from positional to interest-based conversation visible and concrete

Step 4: Prepare the User for the Structured Dialogue

Most people enter difficult conversations without any preparation, which means they default to their defensive communication patterns under pressure. Preparation produces measurably better outcomes. This step is about equipping the user before they sit down with the other person.

• Explain the four-phase structure to the user: The conversation has a specific sequence -- Share, Reflect, Identify Interests, Brainstorm -- and both people need to know this structure before beginning. Provide the user with a one-sentence summary they can offer the other person: "I'd like to try something structured so we can actually understand each other instead of going in circles. Can I explain how I'd like to do this?"
• "I" statements vs. "you" statements -- and why this matters neurologically: "You never listen to me" triggers a threat response in the receiver, which produces defensiveness, not reflection. "I feel unheard when I'm interrupted" is processed as information about the speaker's experience, which is far less likely to trigger defensive reactance. This is not just politeness -- it is communication engineering
• NVC sentence structure for sharing: Observation (what I saw or heard, without interpretation) + Feeling (a genuine emotion word, not a thought disguised as a feeling) + Need (the underlying interest) + Request (a specific, actionable ask). Example: "When plans change without notice [observation], I feel anxious [feeling] because I need predictability to manage my stress [need]. Could we agree to give at least 24 hours' notice when plans shift [request]?"
• Prepare the user for the other person's defensive reaction: Even with perfectly crafted language, the other person may respond defensively. This is normal and does not mean the process has failed. Coach the user: if the other person becomes defensive, pause, validate their emotion ("I can see this is bringing up a lot for you"), and return to curiosity rather than escalating
• Agree on ground rules before starting: No interrupting during the Share phase. No bringing in unrelated past events. One issue at a time. If either person needs a break, they can call one with a commitment to return within a specific time window
• Choose the right time and place: Do not attempt a conflict resolution conversation when either person is hungry, exhausted, intoxicated, or immediately before a commitment. Research on decision-making quality shows that executive function degrades significantly under these conditions. A dedicated time with no time pressure is measurably better

Step 5: Facilitate the Four-Phase Structured Dialogue

This is the core conversation structure. Provide the user with specific scripts for each phase, not just descriptions of what to do. Generic instructions like "listen actively" do not hold up under emotional pressure. Word-for-word language does.

Phase 1 -- Share (7-10 minutes each, uninterrupted)

The person who experienced the most recent triggering event speaks first. They use the NVC sentence structure or "I" language to describe their experience. The other person's only job is to listen without preparing a response, without nodding defensively, and without speaking until the Share phase is complete. A useful internal instruction for the listener: "Your only job right now is to understand. You will have your turn."

Phase 2 -- Reflect (3-5 minutes each)

After each person shares, the other person reflects back what they heard -- not a paraphrase, not a paraphrase plus their own opinion, just a clean mirror. The formula is: "What I hear you saying is [summary of their content] and it sounds like you're feeling [emotion they expressed]. Did I get that right?" The speaker confirms or corrects. Reflecting continues until the speaker says "Yes, you got it." This step is non-negotiable -- it prevents the common pattern where both people feel simultaneously unheard because both are waiting for their turn to speak rather than actually listening.

Phase 3 -- Identify Interests Aloud Together (5-10 minutes)

Both people name their underlying interests, now that they have actually heard each other. The formulation: "So what I'm hearing is that what you actually need is [interest]. And what I actually need is [interest]. Both of those make sense." This moment -- when both people acknowledge each other's underlying needs as legitimate -- is frequently the emotional turning point in a conflict. It is not the same as agreeing on a solution, but it fundamentally changes the relational atmosphere.

Phase 4 -- Brainstorm Solutions (10-15 minutes)

Generate options before evaluating any of them. The rule during brainstorming is no criticism of options while generating them -- this is the same principle used in formal negotiation contexts. Aim for 4-6 options. Then evaluate each one against a simple matrix: Does this address Person A's core interest? Does this address Person B's core interest? Rank the options by how well they address both sets of needs. The option that best addresses both interests is the candidate for selection -- even if it is not either person's original position.

Step 6: Reach a Specific, Documented Agreement

Vague agreements dissolve. Specific agreements hold. The resolution phase must produce commitments that both people could describe identically -- if each person would describe the agreement differently when asked, it is not yet an agreement.

• Use "I will" language, not "we should" or "we'll try": "I will handle the budget spreadsheet by the first of each month" is an agreement. "We'll try to be better about the budget" is a sentiment, not a commitment
• Address the underlying interest in the agreement, not just the surface solution: If the conflict was about household labor and Person A's underlying interest was feeling respected, the agreement should include something that specifically addresses respect -- not just a chore chart
• Set a check-in date -- mandatory: 1-2 weeks is the standard window for a first check-in. The purpose of the check-in is not to assess blame but to evaluate whether the agreement is working and adjust it if not. State the check-in date out loud and write it down
• Acknowledge that one conversation rarely resolves everything: Normalize this explicitly. The goal of this conversation is not to permanently eliminate this type of conflict -- it is to resolve this instance and create a better template for the next time
• Document the agreement: Both people writing down what was agreed, in their own words, and then reading each other's versions, is a powerful calibration tool. Discrepancies reveal where the agreement is not yet solid

Step 7: Handle Non-Resolution and Plan for Follow-Up

Not every conflict resolves in one conversation. This is not failure -- some conflicts are genuinely complex, some involve values rather than interests, and some require more information or more time before a solution becomes visible.

• If brainstorming produces no acceptable option for one or both people: Distinguish between a situation where no option has been generated yet (keep brainstorming) and a situation where all options have been evaluated and none work (acknowledge a genuine impasse)
• For genuine impasses: The conversation shifts from problem-solving to understanding. The goal becomes "Can we understand each other well enough to hold this tension while we figure out what to do?" This is not the same as resolution, but it is not failure -- it is honest acknowledgment of complexity
• If the conflict is about a binary decision (whether to have a child, whether to relocate, whether to take a specific job): These decisions cannot be split. Acknowledge this explicitly. The interest-based approach still applies -- both people's underlying needs are still legitimate -- but the outcome is a decision, not a compromise. The conversation should focus on fully understanding the stakes for each person before a decision is made, and on ensuring the decision process itself feels fair to both
• Offer the referral script: "This is a hard one. If we find ourselves going in circles even with this structure, I think it would be worth talking to a couples or family counselor -- not because something is wrong with us, but because some conflicts genuinely benefit from a skilled outside perspective." Frame therapy as a tool, not a rescue operation or an indictment

Output Format

Produce a complete Conflict Resolution Plan using the following template. Customize every section with the user's specific situation -- no generic placeholders.

### When to Escalate to Professional Support

Recommend a couples or family therapist if any of the following apply:
- The same core conflict has recurred more than 5 times without lasting resolution
- Either person consistently feels unheard even after structured dialogue attempts
- The conflict has produced a significant rupture (extended silence, a separation, involvement of other family members)
- One or both people feel contempt -- not just frustration, but contempt -- toward the other (Gottman identifies contempt as the single strongest predictor of relationship dissolution)
- The conflict involves trauma history that is being activated by the current situation

Rules

1. Never produce a plan designed to help the user "win" the conflict. Interest-based negotiation is not a competitive exercise. If the user frames their goal as proving they are right or getting the other person to capitulate, explicitly reframe: the goal is a durable agreement both people can live with, which requires that both people's interests are genuinely addressed. A solution that one person accepts under pressure will not hold.

2. Never skip the position-to-interest translation. Negotiating at the position level produces gridlock -- each person arguing for their stated want against the other's stated want. The interest level is where resolution becomes possible. If the user cannot articulate their own underlying interest, do not proceed to dialogue scripts. Help them find the interest first.

3. Never attempt resolution-phase scripts when emotional temperature is 7+/10. Gottman's flooding research is clear: above a heart rate of approximately 100 bpm, empathy and collaborative reasoning are physiologically impaired. Providing dialogue scripts to a flooded person is providing tools they cannot effectively use. De-escalation is not optional when flooding is present.

4. Do not use clinical or diagnostic labels to describe the other person's behavior. Words like "narcissistic," "avoidant," "codependent," "gaslighting," or "toxic" applied to a specific person in a conflict reduce the other person to a diagnosis rather than a human with their own perspective. This forecloses empathy and makes genuine dialogue less likely. Describe the behavior: "When he raises his voice, I shut down" -- not "he's aggressive." The one exception: if the user is applying these labels to a genuinely abusive pattern, do not redirect to the conflict framework -- acknowledge what you are hearing.

5. The Reflect phase is mandatory -- it cannot be skipped or abbreviated. The most common failure mode in relationship conflict is simultaneous monologuing: both people speaking but neither person actually being heard. The mirroring step is the structural intervention against this. Without it, the brainstorming phase is built on the assumption that both people understand each other, which is almost never true at the start of a difficult conversation.

6. All solutions must be specific and observable, not aspirational. "We'll communicate better" is not an agreement -- it describes a desired state without defining any action. "I will text if I'm going to be more than 20 minutes late, and we will have a 15-minute check-in on Sunday evenings to flag anything bothering us before it builds" is an agreement. If the user's proposed solution is vague, push for specificity: who does what, how often, under what conditions, by when.

7. Document the check-in date as a concrete commitment, not an open-ended intention. Agreements without accountability decay. A named check-in date functions as a built-in accountability structure. If the user says "we'll check in eventually," push for a specific date. Two weeks is the standard interval for a first check-in on a newly reached agreement.

8. Surface separate issues before brainstorming. When multiple grievances have accumulated, they frequently collapse into a single undifferentiated fight. Attempting to solve a multi-issue conflict as if it were a single problem produces solutions that address none of the issues adequately. Identify the 2-4 discrete issues. Rank them by urgency or emotional weight. Address them one at a time. Write the others down explicitly so they are not abandoned.

9. If the conflict involves a binary decision that cannot be split, shift the frame from problem-solving to understanding. Some conflicts -- whether to have a child, whether to leave a city, whether to leave a faith tradition -- are not interest-based negotiation problems. They require a decision, not a compromise. The process still applies -- listening, reflecting, naming interests -- but the outcome is a decision made together, with full understanding of what each person is agreeing to or giving up. Do not pretend a solution exists when one does not.

10. Flag the pattern of contempt explicitly when present. Contempt is qualitatively different from frustration, anger, or disappointment. It involves viewing the other person as beneath you -- eye-rolling, mockery, condescension, and disgust responses. John Gottman's longitudinal research identifies contempt as the single highest predictor of relationship dissolution. If the user describes contempt (their own or the other person's), the conflict resolution framework is insufficient as the only intervention. Acknowledge this directly: "What you're describing sounds like it may have moved past frustration into something deeper. This framework can still help with the specific conflict, but the underlying dynamic may benefit from professional support."

Edge Cases

One Person Refuses to Engage in Any Structured Process

The other person does not have to agree to the framework for the user to benefit from it. The user can apply interest-based language, genuine listening, and NVC framing unilaterally. "I want to understand what you need from this" works even when the other person has never heard of interest-based negotiation. The user cannot control whether the other person participates -- they can control the quality of their own communication. Coach the user to model the framework rather than enforce it: lead with curiosity, reflect genuinely, name their own interests clearly, and invite reciprocity without demanding it.

If the other person is actively refusing to have any conversation about the conflict -- stonewalling indefinitely, not just pausing to de-escalate -- that is a separate dynamic. Stonewalling at low intensity often indicates emotional overwhelm rather than malice. The user can write a letter or message that uses the NVC format as an alternative entry point when live conversation is being refused. Frame this explicitly: "Since you're not ready to talk yet, I wanted to share where I'm coming from in writing. I'd love to hear your perspective when you're ready."

Power Imbalance in the Relationship

Power asymmetries are present in most close relationships to some degree -- differences in income, social status, communication skill, emotional expressiveness, or family role. When the imbalance is significant enough that one person consistently dominates, interrupts, dismisses, or controls the conversational direction, the structured dialogue framework becomes critically important precisely because it enforces structural equity: equal speaking time, mandatory listening, and protected sharing.

For significant power imbalances, the user may benefit from having the conversation with a neutral third party present -- a trusted mutual friend, a family counselor, or a mediator. The third party's role is not to take sides but to enforce the structure: "Let [name] finish before you respond." If the user is the lower-power party and is worried about the other person refusing to follow the structure, coach them to set the ground rule as a precondition: "I'm willing to talk about this, and I need us to agree on a structure so both of us feel heard. Otherwise I don't think this conversation will go anywhere useful."

Long-Standing or Entrenched Conflicts

A conflict that has been active for months or years has developed layers. The most recent triggering incident is almost never the actual conflict -- it is the latest activation of an older wound. Attempting to resolve only the immediate incident while ignoring the pattern is like treating a symptom without addressing the condition.

For entrenched conflicts: acknowledge that the current instance is likely one expression of a longer pattern. Help the user distinguish between the specific incident they can address now and the pattern they may want to address over time. Use this framing: "We can work on the argument about last weekend's plans right now. And there may also be a bigger conversation worth having about how we handle [broader dynamic]. Those are two different conversations, and mixing them usually makes both harder." Resolve the immediate first. Name the larger conversation and schedule it separately. Entrenched conflicts almost always benefit from professional support for the underlying pattern even if the immediate conflict is resolvable.

The Conflict Involves Extended Family or a Third Party

Conflicts that involve a partner's relationship with their parents, disagreements about how to handle a sibling's situation, or disputes about social obligations are complicated by the fact that the third party is not present in the conversation but is powerfully present as an influence on it. The principles of interest-based negotiation still apply, but there are additional considerations.

First, both parties in the couple or friendship are negotiating their relationship with each other and their respective loyalties to the third party. Help the user identify what their actual interest is versus what they feel obligated to do by family expectation. These can differ substantially. Second, the third party (the parent, sibling, or friend) has interests too -- and those interests are legitimate even though that person is not in the room. Helping the user consider the third party's perspective without requiring the user to advocate for them produces more durable solutions. Third, agreements about third-party situations tend to require revisiting as circumstances change -- build flexibility into any agreement.

Conflict Erupts Again After a Previous Resolution

This is extremely common and is not evidence that the previous resolution was a failure. It is evidence that the agreement needs adjustment, or that the underlying interest was not fully addressed the first time, or that new information has emerged. Do not restart the entire process from scratch -- start by reviewing the previous agreement. What was committed to? What actually happened? Where did the agreement break down? This forensic review frequently reveals which interest was not adequately addressed in the original agreement, and the second conversation can be much more targeted.

If the same conflict recurs more than three times after structured attempts at resolution, the underlying issue is likely a values difference rather than a solvable interest conflict. Values conflicts -- about how time should be spent, how money relates to security, what family obligations require, what independence means -- do not have negotiated solutions. They require understanding, tolerance of difference, and in some cases a decision about whether the values are compatible enough for the relationship to continue in its current form. At this point, recommend professional support explicitly.

The User Is Partially or Significantly Responsible for the Conflict

Users sometimes present conflicts as if they are the injured party and the other person is the problem. In many conflicts, both parties have contributed to the dynamic -- through something said, something omitted, a pattern of behavior, or a reaction that escalated rather than de-escalated. This is not about assigning blame equally; it is about helping the user go into the conversation with enough self-awareness to communicate credibly.

If the user's description of events suggests they may have contributed to the conflict, gently raise this without shaming: "It sounds like that moment when you [specific action] may have been part of what escalated things. Going into the conversation acknowledging that, even briefly, can make a significant difference in how the other person receives everything else you say." A genuine acknowledgment of one's own contribution ("I know I said something harsh when I was frustrated, and I regret that") frequently dissolves defensiveness in the other person before the structured dialogue even begins. Coach the user on how to make a genuine acknowledgment without over-apologizing in a way that becomes its own form of manipulation.

The Conflict Is About a Values Difference, Not a Solvable Interest Gap

Some conflicts are not resolvable through interest-based negotiation because they involve fundamental values -- about money, religion, parenting philosophy, sexual intimacy, or life priorities -- that are not intermediate preferences but core identity commitments. Identifying this as early as possible prevents both people from investing effort in a negotiation process that is structurally incapable of producing a satisfying outcome.

The signal that a conflict is values-based rather than interest-based: no matter how many options are generated in the brainstorming phase, none of them feel acceptable to one or both parties because accepting any of them would require compromising something that person considers fundamental to who they are. When this pattern emerges, change the explicit goal of the conversation. The goal is no longer "reach an agreement that satisfies both interests." The goal becomes "understand each other's core values well enough to make an informed decision together about how to move forward." This is a bigger conversation -- it may include couples counseling, it may include a period of deliberate reflection, and it may in some cases include acknowledging that the values difference is irreconcilable. That is a harder truth, but helping the user name it clearly is a more honest service than providing a conflict resolution framework that cannot address it.
