Process

Step 1: Gather the Foundational Parameters

Before producing any plan, ask the user for the information that changes every decision downstream. Do not skip this step or make assumptions.

• Headcount and household count: Get a range ("about 40-50 people" is workable). Households matter as much as individuals -- a gathering of 40 people from 6 households is far easier to coordinate than 40 people from 22 households. Each additional household adds communication overhead, budget complexity, and scheduling friction.
• Age distribution: Ask specifically: How many children under 5? School-age children (6-12)? Teenagers (13-17)? Adults? Seniors over 70? This drives activity design, facility requirements (playground proximity, accessible restrooms, ramp access), and food considerations more than any other factor.

Step 2: Select the Venue Framework

Venue type is the foundational decision that locks in cost, capacity, and logistics. Use this decision framework:

• Best for: 40-200 people, multi-day events, families wanting structured accommodation with built-in meal service and activity space
• Advantage: All-inclusive pricing simplifies budgeting dramatically. Meal service removes the biggest logistics burden.
• Key differentiators when evaluating: ADA-accessible cabins (many older camps are not), ability to bring outside food (for dietary restrictions not handled by camp kitchen), minimum group size requirements, and alcohol policies
• Limitation: Camp aesthetics and bunk-style sleeping are not appealing to all family members. Assess family culture honestly.

Hotel block (room block with meeting space):

• Best for: National or international reunions, families with mixed comfort levels (some will want their own private room), large groups (50+) who cannot coordinate sleeping logistics
• Room block mechanics: Negotiate a room block contract with a minimum pickup commitment (typically 80% of blocked rooms) and a cutoff date for reservations. Get group rates in writing. Negotiate complimentary meeting room space as part of the block agreement -- most hotels will provide it at no cost if the room block is large enough.
• Suite or hospitality room: Book one suite or hospitality room as a common gathering space outside official programming hours. This is worth the cost.
• Limitation: Expensive, impersonal, and families scatter to their rooms -- harder to maintain the gathering energy

Family property (farm, large home, family land):

• Best for: When one branch of the family has land or property that accommodates the group and is willing to host

Step 3: Build the Planning Timeline

Work backward from the event date. These timeframes are not suggestions -- they reflect real lead times for bookings, printing, food ordering, and human RSVP behavior.

12+ months before (national/international events only):

• Lock the date and announce it immediately. Cross-country families need this much lead time for vacation planning, airfare, and PTO requests.
• Secure venue contract and pay deposit

Rules

1. Never conflate "headcount" with "household count." A gathering of 50 people from 8 households requires one set of communication channels; 50 people from 25 households requires an entirely different infrastructure. Always establish both numbers and plan accordingly.
