Relationship Communication Audit

This is a structured self-reflection framework for examining your own communication patterns in close relationships. It draws on established communication research -- including Gottman Institute findings, Nonviolent Communication (NVC) methodology, and dialectical behavior therapy (DBT) interpersonal effectiveness skills -- to help users identify what they do well, where they struggle, and what specific actions will produce real change. This is not a diagnostic instrument, a relationship health score, or a substitute for couples therapy. It examines the user's own behavior, not their partner's.

When to Use

Use this skill when:

• The user wants to examine their own communication habits in a specific relationship (romantic partner, parent, adult sibling, close friend, or co-parent)
• The user describes a recurring friction pattern ("We always end up fighting about the same things") and wants to understand their own role in it
• The user is preparing for couples therapy and wants to arrive with self-awareness about their own patterns before the first session
• The user has recently come through a significant relationship rupture (major argument, period of distance, betrayal) and wants to understand what in their own communication contributed to it
• The user explicitly says they want to "communicate better" or "be a better partner/friend/family member" and is asking for a structured way to do that
• The user notices a pattern in multiple relationships (e.g., "I tend to go quiet when things get tense -- this has happened with my partner, my mom, and my best friend") and wants to audit where that comes from in their own behavior
• The user wants to track communication growth over time and is looking for a baseline self-assessment they can revisit

Do NOT use when:

• The user wants to assess or diagnose their partner's communication -- redirect to difficult-conversation-prep for helping them address partner behavior directly
• The user is asking whether their relationship is healthy, abusive, or should continue -- this is outside scope; for safety concerns, direct them to relationship safety resources
• The user is describing symptoms of a communication or language disorder (word-finding difficulty, processing delays, stuttering under emotional stress) -- recommend a speech-language pathologist
• The user is in acute relationship crisis (just discovered an affair, partner has issued an ultimatum, considering separation today) -- this reflective tool requires emotional regulation capacity that crisis disrupts; address the crisis first
• The user wants a clinical diagnosis of attachment style, personality disorder, or communication disorder -- describe behavioral patterns in plain language, never apply clinical labels
• The user wants a score or verdict on their communication quality -- this framework produces patterns and actions, not grades
• The user wants to know what is "wrong" with their partner -- keep the lens on the user's own behavior throughout

Process

Step 1: Clarify Scope and Set the Frame

Before generating the audit, gather the information needed to make it specific and useful.

• Ask which relationship they are reflecting on. The audit reads very differently for a romantic partnership of 10 years versus a recently strained friendship versus a difficult relationship with a parent. Name the relationship explicitly in the output.
• Ask whether there is a specific pattern or concern driving this reflection, or whether it is a general self-improvement exercise. A user who says "I never know how to bring up problems" has a different audit priority than one who says "I explode and then feel terrible about it."
• Ask whether there is a specific recent incident they want to use as the reflective anchor. A concrete recent event is more useful than abstract self-description -- people remember their behavior more accurately when anchored to a specific situation.
• Do NOT ask for the partner's behavior in detail. If the user starts describing what their partner does wrong, gently redirect: "For this audit, we are going to stay focused on your own patterns -- what you did, what you felt, what you wished you had done differently."
• If the user wants to do this as a joint exercise with a partner, note that each person should complete their own audit independently first and then share. Establish ground rules before sharing (see Edge Cases).

Step 2: Anchor to the Five Communication Dimensions

This framework examines five distinct dimensions of communication behavior. Each dimension has its own failure modes, its own strengths, and its own leverage points for change. Explain the five dimensions briefly before diving in, so the user understands what they are being asked to examine:

• Expressing: How you communicate your thoughts, needs, feelings, and boundaries -- the outgoing signal
• Listening: How you receive, process, and respond to what the other person communicates -- the incoming signal
• Conflict navigation: How you handle disagreement, tension, and hurt -- the stress test
• Repair: How you reconnect after a rupture, misunderstanding, or fight -- the recovery process
• Daily maintenance: How you sustain connection during ordinary, non-conflict time -- the baseline

Research from the Gottman Institute found that stable relationships maintain a ratio of approximately 5 positive interactions to every 1 negative interaction during conflict. Daily maintenance is what builds that positive ratio. All five dimensions matter, but repair and daily maintenance are chronically underweighted in most people's self-assessments.

Step 3: Guide Through Each Dimension with Targeted Reflection Questions

For each dimension, provide 3 reflection questions that are:

• Open-ended and non-leading (behavioral, not evaluative)
• Anchored to specific situations rather than general self-description
• Designed to surface patterns, not assign blame

Good: "When you feel hurt in this relationship, what do you typically do in the first 30 minutes after the hurt happens?" Poor: "Do you communicate your feelings well?"

Good: "Think about the last time you disagreed with this person. What did you do when you felt the tension rise?" Poor: "Are you a good listener?"

After the user responds to the questions, do NOT just accept their self-description at face value. People tend to describe their intentions rather than their behaviors. If a user says "I try to listen," ask what "trying to listen" looks like behaviorally: "What specifically do you do when you are trying to listen -- do you maintain eye contact, ask follow-up questions, summarize back what you heard?" This behavioral specificity is where the useful patterns live.

Key research-backed patterns to listen for within each dimension:

Expressing: Look for indirect expression (hinting, sighing, expecting inference), conditional expression ("nothing's wrong" when something is wrong), over-expression (flooding the conversation with grievances), under-expression (needs go unstated until resentment builds), and the Ladder of Inference pattern (skipping from observed behavior to assumed meaning without checking).

Listening: Look for reactive listening (listening to respond, not to understand), defensive listening (hearing feedback as attack), selective listening (engaging only with parts that feel safe), and stone-walling behaviors (shutdown during emotional conversations, a pattern Gottman identified as one of the four most corrosive communication behaviors alongside criticism, contempt, and defensiveness).

Conflict: Apply Gottman's Four Horsemen as a behavioral checklist -- not as diagnostic labels, but as behavior patterns to recognize. Criticism (attacking character: "You never care about my feelings" vs. complaint: "I felt ignored when you checked your phone during dinner") and contempt (eye-rolling, dismissiveness, sarcasm, mockery) are the two most corrosive. Defensiveness (counter-attacking or denying instead of acknowledging) and stonewalling (emotional shutdown, going silent) are also significant. The user may demonstrate one or more of these without being aware of it.

Repair: The concept of repair attempts is critical. Gottman's research found that the ability to make and accept repair attempts -- not the absence of conflict -- is what distinguishes stable from unstable relationships. A repair attempt is any bid to de-escalate tension: humor, a touch, an apology, a timeout request, saying "I'm getting overwhelmed, can we pause?" Users who are poor at initiating repair often confuse waiting for the other person to apologize with principled conflict resolution. Users who are poor at accepting repair often experience unrepaired hurts as accumulated grievances.

Daily maintenance: Look for maintenance patterns: bids for connection (small moments of reaching toward the other person -- sharing something, asking a question, making eye contact) and responses to bids (turning toward, turning away, or turning against). Gottman found that couples who stay together respond to bids for connection approximately 86% of the time versus 33% for couples who eventually divorce. Daily maintenance is not grand gestures -- it is the accumulation of small bid-and-response moments.

Step 4: Identify Patterns Using Behavioral Framing

After gathering the user's responses, synthesize patterns in three categories for each dimension:

• Strength: Something the user demonstrably does well. Every person has something. Strengths are not flattery -- they are real behaviors to build on. If a user genuinely struggles across all dimensions, find the proto-strength: "You are aware of this pattern, which is the beginning of changing it."
• Growth area: A specific behavior pattern that undermines communication in this relationship. Frame as a skill to develop, not a character defect. "You tend to state your needs indirectly and then feel resentment when they go unmet" is descriptive and actionable. "You are bad at communication" is not.
• Trigger situation: The specific context in which the growth area shows up most reliably. Patterns are not uniform -- they are triggered. Identifying the trigger makes the pattern workable. "When you are tired and feel unsupported is when indirect expression becomes most pronounced" is more useful than "you communicate indirectly."

Avoid the temptation to over-pattern. Do not create more than 2 growth areas per dimension, and do not produce a list of 10 growth areas total. If patterns are numerous, prioritize by impact: ask which dimension, if improved, would most change the quality of this relationship.

Step 5: Generate the Action Plan

For each identified growth area, produce one specific, time-bounded, behaviorally concrete action. The standard is: could a stranger observe whether this action was performed? If not, it is not specific enough.

Not actionable: "Work on expressing your needs more." Actionable: "Once per day this week, identify one need you have before going to bed. Write it down. If you did not express it that day, note why."

Not actionable: "Practice better listening." Actionable: "During the next conversation where your partner shares something emotional, wait until they have finished before speaking. Then say one sentence summarizing what you heard before responding."

Use the NVC formula as a structural tool for expressing dimension actions: Observation ("When you checked your phone during dinner") + Feeling ("I felt invisible") + Need ("I need to feel like I have your attention at least once during the evening") + Request ("Would you be willing to keep your phone in another room during dinner?"). Teach this formula as a tool when expressing or conflict actions are in the action plan.

Use DBT's DEAR MAN framework when the action involves making a request under difficult circumstances: Describe the situation, Express feelings, Assert what you want, Reinforce why it matters to them, stay Mindful, appear Confident, Negotiate if needed. This is especially useful for users who struggle with conflict avoidance.

Limit the action plan to 3 items maximum. Research on behavior change consistently shows that implementation intentions attached to a specific trigger situation ("When X happens, I will do Y") produce significantly higher follow-through rates than general intentions. Format each action as an implementation intention.

Step 6: Build the Summary and Check-In Schedule

Produce the summary table consolidating all five dimensions into a single view. Strengths and growth areas at a glance.

For the check-in, calibrate to the user's stated engagement level:

• Casual self-improvement: revisit in 4--6 weeks
• Preparing for therapy: revisit before the second or third session
• Working through a recent rupture: revisit in 2--3 weeks

Note that genuine communication behavior change takes 60--90 days of consistent practice before a new pattern begins to feel natural. The 4-6 week check-in is not to declare success -- it is to adjust the action plan based on what is working and what is hitting resistance.

Step 7: Close with Context and Next-Step Guidance

After producing the audit, offer one of three next-step framings depending on what the audit revealed:

• If patterns are moderate and manageable: "These are workable patterns. The action plan is your starting point. Revisiting this in 4--6 weeks will show you what has shifted."
• If a pattern is deeply entrenched and seems connected to long history or high distress: "Some of these patterns are old and deeply rooted. Self-reflection is a meaningful first step, but a therapist can help you work through patterns that have origins earlier than this relationship."
• If the user identified potential safety concerns during the audit (fear of partner's anger, walking on eggshells, communication that involves intimidation): "Some of what you described goes beyond communication patterns. A therapist or relationship safety resource can help you evaluate what is happening more fully."

Rules

1. Never assess the partner through this tool. If the user describes their partner's behavior, acknowledge it briefly and redirect: "I hear that. For this audit, let's focus on what you do in those moments -- your partner's behavior is outside the scope of this reflection." The lens stays on the user's own actions throughout.

2. Behavioral specificity is non-negotiable. All pattern descriptions, growth areas, and actions must describe observable behaviors. "You struggle to be vulnerable" is not behavioral. "When the conversation becomes emotionally intense, you tend to respond with practical problem-solving rather than naming what you are feeling" is behavioral. The test: could someone watching a video of the user observe this pattern?

3. Never apply clinical labels or diagnostic categories. Do not describe the user as "avoidant," "anxious," "codependent," "narcissistic," or any other clinical construct -- even informally. Describe what they do and when they do it. Clinical labeling shuts down reflection; behavioral description opens it.

4. Every growth area gets exactly one corresponding action. Two growth areas paired with one vague action, or five growth areas with no actions, are both failures. The ratio is 1:1 and the action must be specific enough to be observed and measured.

5. The action plan is capped at three items. More than three simultaneous behavior change targets is not ambitious -- it is how behavior change fails. If the user has more than three growth areas, select the three with the highest leverage in this specific relationship and note that others can be addressed in subsequent audit cycles.

6. Implementation intentions outperform general intentions. Every action in the action plan must be formatted as "When [specific trigger situation], I will [specific behavior]" -- not "I will try to listen better." Research by Peter Gollwitzer shows that implementation intentions increase follow-through rates by 200--300% over general intentions. Apply this structure every time.

7. Identify at least one genuine strength per dimension. This is not flattery -- it serves a clinical function. Behavior change is more sustainable when it is built on existing capability. If a user says "I have no strengths here," push back gently: "You are doing this audit, which means you care enough to examine yourself. That is the beginning of everything else here." Find the real proto-strength and name it.

8. Do not produce a score or a ranking of the user's overall communication. There is no "7/10" or "below average." Communication patterns are contextual, relationship-specific, and changeable. A score implies fixed ability and invites defensiveness rather than reflection.

9. Flag safety-adjacent patterns without overstating them. If the audit surfaces that the user feels afraid of their partner's reactions, describes walking on eggshells, or frames their communication accommodations in terms of avoiding the partner's anger, note clearly and calmly that a therapist or relationship safety resource is appropriate -- and do not continue the audit as if this is a routine communication optimization exercise.

10. The audit must name a highest-leverage dimension. After the summary table, identify the one dimension where improvement would produce the most ripple effects across the relationship. This prevents the user from being overwhelmed and gives them a clear starting point. Typically: when expressing is the core problem, it tends to compound every other dimension (resentment builds, listening degrades, conflicts escalate, repair delays). When repair is the problem, conflicts that could be resolved instead calcify. Choose based on what the audit actually revealed, not a formula.

11. Frame check-ins as skill practice review, not self-evaluation. The 4--6 week check-in is not a progress report. It is a practice review: what became easier, what hit resistance, what needs adjusting. This framing reduces the shame spiral that often accompanies self-improvement frameworks when change is slower than expected.

12. Separate intent from impact consistently. Users routinely describe their communication in terms of their intentions ("I wasn't trying to shut him down, I just needed space"). Gently reflect back that impact is what shapes the other person's experience, regardless of intent: "That makes sense as your intention. What do you think the impact looked like from his side?" This is not blame -- it is the doorway to perspective-taking.

Edge Cases

The User Wants to Audit Their Partner, Not Themselves

This is the most common misuse of this tool. Signs: the user's description is almost entirely about what their partner does, asks questions like "is my partner a good communicator," or keeps redirecting back to partner behavior when asked about their own.

Handle by naming it directly but warmly: "Everything you are sharing about your partner makes sense -- but this audit is designed to examine your own patterns, not theirs. If you would like to address your partner's communication with them directly, the difficult-conversation-prep skill can help you structure that conversation. For now, can we stay focused on what you do in these situations?" Do not produce a stealth partner audit dressed as a self-audit. If the user insists, clarify the limitation: "I can help you reflect on yourself in this relationship. I can't audit your partner without their participation."

The User Is Doing This as a Joint Exercise with Their Partner

Adapt the delivery but maintain the principle: each person completes their own audit independently before sharing. Provide explicit ground rules for the sharing conversation:

• Each person reads their own audit. The other person listens without interrupting.
• No commentary on the other person's self-assessment ("you left something out," "that's not accurate").
• No "I told you so" responses to growth areas.
• Each person selects one action from their own plan to focus on -- not the one they wish their partner would focus on.
• Consider completing the share in the presence of a therapist if the relationship is in a fragile state, because the sharing conversation can itself become a conflict if not handled carefully.

The joint exercise is most useful when the relationship is in reasonable repair and both people are genuinely curious. It is contraindicated when one partner is pressuring the other to participate, or when the primary dynamic is blame-attribution.

The User Identifies an Overwhelming Number of Growth Areas

Users who are self-critical, anxious, or in the aftermath of a significant rupture sometimes respond to the reflection questions with a cascade of self-identified failures. If the user generates more than 5 growth areas across the five dimensions, stop and name it: "You have identified a lot of patterns you want to change. That level of self-awareness is genuinely valuable -- and trying to change all of it at once will not work. Let's pick the one dimension that would most change this relationship if it improved."

Apply the highest-leverage prioritization: In most expressing-deficit patterns, the ripple effect of learning to state needs directly will touch conflict, repair, and maintenance simultaneously. In most conflict-escalation patterns, addressing criticism versus complaint will change the texture of almost every difficult conversation. One real change beats five abandoned ones.

The User's Patterns Connect to Childhood or Family of Origin

Users sometimes recognize mid-audit that their communication patterns have deep roots: "I never learned to ask for things directly because asking in my family meant being a burden." This recognition is valuable and does not need to be treated as a detour.

Acknowledge it genuinely: "That's an important connection. Patterns that formed early in life tend to feel automatic and almost invisible -- they are part of how you learned to stay safe or connected. Self-reflection like this is meaningful, and some patterns that are deeply wired from early experience also respond well to working with a therapist who can go further than self-audit alone." Do not spend the rest of the audit excavating family of origin -- note it, honor it, and keep the audit focused on present behavior in the named relationship. The therapy referral is appropriate here without being dismissive.

The User's Audit Surfaces a Pattern That Sounds Like Emotional Abuse

Occasionally, as the user describes their own communication, they describe accommodating behavior that begins to resemble the relational profile of someone in a controlling or abusive dynamic: significant self-censorship driven by fear of the partner's reaction, describing themselves as "walking on eggshells," saying things like "I've learned not to say certain things because of how he responds." The user may frame this as their own communication problem ("I'm too conflict-avoidant") when the avoidance may be a reasonable adaptive response to an unsafe dynamic.

Do not diagnose the relationship. Do stop the audit as a self-optimization exercise. Name what you are noticing carefully: "Some of what you are describing -- adjusting what you say based on fear of your partner's reaction -- may be worth looking at more closely with a professional. A therapist can help you evaluate what is happening and whether it is about communication patterns or something that needs a different kind of support." Safety must come before skill-building.

The User Is Satisfied with Their Communication and Seeking Confirmation

Some users complete this exercise and find that their patterns are genuinely healthy -- or they have done significant prior work and have already integrated the skills this audit addresses. Affirm it without forcing improvement. Produce the summary showing their genuine strengths. Provide the check-in framework for periodic self-maintenance rather than an action plan built on manufactured growth areas. "This audit is also useful as a baseline -- revisit it during periods of stress or after significant relationship events to see if patterns shift." Genuine affirmation of health is part of good reflection practice.

The User Wants a Quick Audit Without Going Through Each Dimension

Occasionally a user wants a condensed version -- "just tell me what I should work on." Resist producing a shallow audit. Instead, ask the one question that will surface the most important pattern: "Tell me about the last time communication in this relationship broke down -- what did you do in the first few minutes?" A single behavioral account of a real recent event will reveal more than a full checklist of abstract self-ratings. Use that account to anchor the audit and produce a shorter but genuinely specific output.

Dimension 1: Expressing

How you communicate your thoughts, needs, feelings, and boundaries

Reflection Questions:

1. When your mother says something that bothers you, what do you do in the first 30 seconds? Do you address it, deflect, go quiet, or respond immediately?
2. Do you tell your mother directly when you need the conversation to stop or shift -- or do you stay in it past the point where you can engage productively?
3. When you want something to be different in how she communicates with you, do you name it in the moment, bring it up later, or absorb it without saying anything?

What emerged from your reflection: You described getting defensive -- which means something is being communicated before you have consciously decided what to say. Defensiveness is a response that goes up before you have stated what is actually true for you: "I feel criticized" or "I need her to hear my perspective before she responds." The defensive response is expressing something (self-protection) but not what would actually help.

Your Patterns:

• Strength: You are aware that escalation is happening and that your behavior contributes to it. That awareness is the prerequisite for every change.
• Growth area: You respond to perceived criticism with defensive counter-communication before naming what you actually feel or need. The defense goes up before the need gets expressed.
• Trigger situation: When your mother makes a comment you interpret as critical or unsolicited advice -- particularly about choices you feel you have already settled internally.

Dimension 2: Listening

How you receive and process what your mother communicates

Reflection Questions:

1. When your mother starts a sentence that you have a feeling you know where it is going, do you keep listening or does your mental response start composing?
2. What is your body doing when she says something that stings -- do you lean in, pull back, feel tension in your chest?
3. After a difficult conversation with her, if you had to summarize what she was trying to say (not what she said, but what she was trying to communicate), could you?
