Email Autopilot

Email Autopilot

Philosophy

Email is the single most universally broken productivity system in the world. The average professional receives 120 emails per day and spends 28% of their working week reading and responding to them. Yet most email sits unread, most replies are delayed, and most important messages get buried under noise.

The problem is not volume. The problem is that email requires constant manual triage. Every message demands a micro-decision: read now, reply now, reply later, ignore, delete. Multiplied by 120 messages per day, that is thousands of micro-decisions per week that drain cognitive energy without producing real work.

Email Autopilot eliminates the triage burden entirely. Your agent reads everything, surfaces only what matters, drafts responses in your voice, and manages the noise so you never have to.

Trigger Map

Module 1: Inbox Triage and Daily Email Briefing

Trigger: "Check my email", or automatically every morning as part of morning briefing

Step 1: Full inbox scan The agent reads every unread email and sorts them into five categories:

• Urgent and Important: requires your response or decision today
• Important but Not Urgent: needs attention this week, not today
• FYI Only: useful information, no action needed from you
• Waiting: emails where you are expecting a reply from someone else
• Noise: newsletters, promotions, automated notifications, social alerts

Step 2: Briefing output

• Urgent and Important items listed first with one-line summary of each
• Important but Not Urgent items listed with suggested response window
• FYI items summarized in one paragraph total, not listed individually
• Noise count shown with one-tap option to archive all
• Total unread count before and after triage

Step 3: Priority recommendation

• Top 3 emails to handle first, ranked by urgency and relationship importance
• Estimated time to clear your action-required queue

Module 2: Reply Drafting in Your Voice

Trigger: "Draft a reply to X" or agent offers after surfacing an action-required email

How voice matching works:

• The agent reads your sent mail history to learn your natural writing style
• Matches your typical greeting style, sign-off, sentence length, and tone
• Formal with new contacts, warm with established relationships
• Concise when you tend to be brief, detailed when the context demands it

Draft quality standards:

• Every draft directly addresses the specific question or request in the original email
• No filler phrases or corporate language unless that is your style
• Clear and direct without being abrupt
• Includes any relevant context the recipient needs

Approval process:

• Every draft is shown to you in full before sending
• You can say "send it", "make it shorter", "add X", or "start over"
• Nothing is ever sent without your explicit word-for-word approval
• The agent learns from your edits to improve future drafts

Module 3: Follow-up and Reply Tracker

Trigger: Automatic after every email you send. Also: "Any emails waiting on replies", "Did X respond yet"

What is tracked:

• Every email you send that contains a question or request is automatically flagged for follow-up
• Default follow-up window is 3 business days, adjustable per email
• If no reply arrives within the window, a follow-up draft is prepared for your approval
• You can say "give it more time" or "send the follow-up" for each item

Incoming reply detection:

• When a tracked reply arrives, the follow-up is closed automatically
• You are notified in your morning briefing: "John replied to your proposal email"
• Reply sentiment noted: positive, neutral, needs more discussion

Weekly waiting report:

• Every Monday: full list of emails waiting for replies with age
• Oldest items highlighted for priority follow-up
• Pattern detection: contacts who consistently take long to reply noted

Module 4: Noise Reduction and Unsubscribe Management

Trigger: "Unsubscribe me from the noise", or agent identifies recurring noise senders automatically

How noise is identified:

• Senders you have never replied to
• Newsletters and promotional emails you have not opened in 30 days
• Automated notifications from services that send more than 5 emails per week
• Recurring emails with no personal content

Unsubscribe process:

• Agent presents a list of suggested unsubscribes grouped by sender
• You approve the full list or remove exceptions
• Agent handles the unsubscribe action for each approved sender
• Never unsubscribes from anything without showing you the list first

Ongoing noise management:

• New noise senders flagged after 3 emails without a reply from you
• Monthly noise audit: how many noise emails per day before and after cleanup
• Estimated time saved per week from reduced inbox volume

Module 5: Smart Email Search and Memory

Trigger: "Find the email about X", "What did Y say about Z", "When did we discuss the contract"

How it works:

• Natural language search across your full email history
• Finds emails by topic, person, date range, or content
• Summarizes long threads so you get the key points without reading everything
• Surfaces attachments mentioned in email threads

Examples:

• "Find everything about the Johnson account from last quarter" → retrieves and summarizes relevant thread
• "What were the terms Sarah proposed in her last email" → extracts specific information
• "When did I last email the whole team" → finds the date and summarizes content

Module 6: VIP Sender Management

Trigger: "X is a VIP, never let their emails get buried", or set up once in first conversation

How VIP handling works:

• Emails from VIP senders always surface at the top of your briefing regardless of other volume
• If a VIP email arrives and you have not read it within 4 hours, you receive a specific alert
• VIP replies are drafted with extra care and shown to you before any other drafts
• VIP thread history is always included in meeting prep when that person is attending

Who to make a VIP:

• Key clients or customers
• Your manager or board members
• Important investors or partners
• Anyone whose emails should never wait more than a few hours for a response

Module 7: Email Load and Productivity Report

Trigger: "How is my inbox doing", "Show me my email patterns", or every Friday automatically

What the report covers:

• Total emails received this week versus last week
• Average response time for action-required emails
• Percentage of inbox that was noise
• Number of follow-ups sent and replies received
• Longest outstanding unanswered email in your sent folder
• Time estimated saved by triage and drafting assistance

Insights:

• Your busiest email day and time of week
• Senders who generate the most action-required email
• Topics that dominate your inbox this month
• Recommendation: is your email load increasing or decreasing over time

Module 8: Email Templates and Quick Replies

Trigger: "Save this as a template", "Use my standard intro template", "I keep sending the same reply to this type of email"

How templates work:

• When you notice you are writing the same type of reply repeatedly, say "save this as a template for X"
• The agent stores it and uses it as the starting point for similar future emails
• Templates are personalized each time with the recipient's name and specific context
• You can update or delete templates at any time

Common template categories:

• Introduction emails for new contacts
• Meeting request responses
• Proposal follow-ups
• Polite decline messages
• Status update replies

Who This Skill Is For

Executives and founders who receive hundreds of emails per day and cannot personally triage all of them without losing hours to their inbox.

Sales professionals who need to track every prospect communication and never let a follow-up slip.

Customer success and support roles who handle high volumes of client email and need to maintain fast response times.

Consultants and freelancers who manage multiple client relationships over email and need to stay on top of every thread.

Anyone who ends the day with hundreds of unread emails and a low-grade anxiety that something important is being missed.

What Makes This Different From Gmail Filters or Other Email Tools

Email filters sort mail into folders you still have to open. Email apps show you everything and leave the decisions to you. AI email summaries tell you what arrived but do not help you respond.

Email Autopilot handles the full cycle: reads everything, decides what matters, drafts the responses, tracks the follow-ups, and reduces the noise. You spend 20 minutes on email instead of 2 hours, and nothing important gets missed.

Privacy and Safety Boundaries

• The agent will never send any email without showing you the full draft and receiving your explicit approval
• The agent will never delete any email permanently
• The agent will never unsubscribe from any sender without showing you the list first
• The agent will never share your email content with any external service
• The agent will never impersonate you in tone or content beyond what you have approved
• If you ask the agent to send something that seems inconsistent with your normal communication style, it will flag this and ask you to confirm

Setup

No technical configuration required. The agent reads your inbox and sent folder automatically. For best results, tell the agent your role and the names of your VIP senders in the first conversation. The agent learns your voice from your sent mail history within the first session.
