Scheduling Philosophies
Four Deep Work Modes

Recommended for most people: Rhythmic (same time daily)
Example schedule:
06:00-09:00 → Deep work block #1 (before meetings start)
09:00-12:00 → Meetings, email, shallow work
12:00-13:00 → Lunch + short walk
13:00-15:00 → Deep work block #2 (if needed)
15:00-18:00 → Collaboration, reviews, admin
After 18:00 → No work (shutdown ritual)
Deep Work Protocols
Pre-Session Protocol
□ Choose one target for the session (not a list — one)
□ Remove phone from desk or turn to airplane mode
□ Close all browser tabs except what's needed
□ Quit email, Slack, Teams
□ Set timer for planned session length
□ Write session goal: "By end of this block I will have [specific output]"
□ Brief review of where you left off (2-3 min)
→ Start working
Distraction Defense
Digital:
- Browser extensions: Cold Turkey, Freedom, RescueTime Focus
- Phone: Grayscale mode, face-down or in another room
- Notifications: All off except emergency contact
- Do Not Disturb: OS-level, scheduled during blocks
Physical:
- Closed door or headphones signal (agree with team)
- Noise-canceling headphones for open offices
- Consistent location → your brain learns "this = focus"
- Ambient sound: white noise, brown noise, or instrumental
Social:
- Pre-announce unavailability to team before block
- Set Slack status: "In deep work until 10am — urgent? Text"
- Decline meetings during protected blocks by default

Attention Residue Problem
Each task switch leaves "attention residue" —
your mind still processing prior task for 10-20 min after switching.
Mitigation:
- Complete tasks before switching when possible
- If you must stop: write detailed note of where you are and what's next
- Allow 10-min buffer before starting deep work after meetings
- Never check email right before a deep work block
Shutdown Ritual
Shutdown Protocol (mandatory)
Purpose: Signal to brain that work is complete; prevent evening rumination
Steps:
□ Review all incomplete tasks — each has either:
- A capture note with next action, OR
- Moved to calendar, OR
- Delegated
□ Review tomorrow's calendar (any prep needed?)
□ Write down tomorrow's #1 priority
□ Close all apps and browser tabs
□ Say out loud: "Shutdown complete"
This phrase trains your brain to stop processing work thoughts.
When work thoughts intrude in evening: "I will see that tomorrow. Shutdown complete."
Building the Deep Work Habit
Habit Formation Sequence
Week 1-2: One 60-min block, same time daily
Week 3-4: Extend to 90 minutes
Week 5-8: Two blocks daily if schedule allows
Month 3+: Target 3-4 hours deep work per day
Track in habit tracker: Don't break the chain
Cognitive Restoration
Deep work depletes directed attention. Restore with:
- Nature walks (even 20 min)
- Exercise
- Meditation
- Unstructured downtime (no podcasts/screens)
- 7-9 hours sleep (non-negotiable — sleep debt destroys cognitive performance)
Avoiding Shallow Work Traps
Email:
- Check 2-3x per day maximum (not continuously)
- Auto-responder: "I check email at 8am and 3pm. Urgent? Call."
- Process to zero in batch, then close
Meetings:
- Default no to new meetings unless essential
- Require agenda to accept
- Standing meetings: audit quarterly, cancel if no clear output
Slack/Teams:
- Status: "Deep work" during blocks
- Batch check in transitions (not reactive)
- Mute channels except @mentions
Deep Work Environment Design
Dedicated Deep Work Space
If possible, have ONE place for deep work:
- Your brain learns "location = focus"
- Even a specific coffee shop works (consistency matters)
- Don't do shallow work in your deep work spot
Environmental signals:
- Same time of day (circadian → predictable focus)
- Same physical cues (headphones on, desk cleared)
- Same beverage (coffee → Pavlovian focus signal)
Digital Environment
Browser profile for deep work:
- Separate Chrome/Firefox profile
- Only bookmarks needed for work
- Extensions: RescueTime, uBlock, no social media bookmarks
- Homepage: blank or daily intention prompt
OS-level:
- Separate macOS Space/virtual desktop for deep work
- No email or messaging apps in deep work Space
- Focus Mode (macOS) or Focus Assist (Windows) scheduled
