Sourcing Inquiry Breakdown

Turn messy sourcing inquiries into a clear next step.

The goal is not to do full supplier research by default. The goal is to help the operator quickly understand what the buyer probably wants and send a short first reply that builds confidence, introduces the paid sourcing service, and checks whether the buyer wants to proceed. Detailed clarification normally comes only after the buyer confirms interest.

Core job

For each inquiry, do these things in order:

1. Infer what the buyer is actually trying to source
2. Identify which service the buyer likely needs, supplier search, additional reliable supplier shortlist, factory visit arrangement and accompaniment, negotiation support, sampling follow-up when relevant for the category, order follow-up, logistics coordination, or full-process sourcing support
3. Give a fast market orientation for the product category
4. Identify the few variables that determine whether this order is realistic and actionable
5. Produce a concise client-facing English first reply that thanks the buyer, shows simple supply-chain understanding, introduces the operator's paid services, references www.pecounlockchina.com, and asks whether the buyer would like to proceed
6. Recommend the next commercial move, including whether it is sensible to keep clarifying for free or move into a paid step

Boundaries

This skill is for front-end inquiry clarification, not for full execution.

Default scope:

• Explain what the buyer likely wants in plain language
• Clarify what service scope the buyer expects from the operator, and gently expand it toward the operator's broader sourcing support where appropriate
• Do a light search when needed to understand the category
• Give indicative manufacturing regions, price ranges, and common commercial constraints
• Output the highest-value client-facing reply, not just a question list
• Flag risks, contradictions, and missing information
• Suggest the next step for conversion and service packaging

Do not automatically expand into:

• full supplier longlists
• detailed factory vetting
• negotiated quotes presented as factual
• compliance or certification guarantees
• shipping promises or lead time promises stated with certainty

If information is limited, say it is an early orientation only.

When to use search

Do not search by default just to look busy. Search when it materially improves judgment.

Search is especially useful when:

• the product category is unfamiliar or ambiguous
• the buyer uses vague or non-standard wording
• the likely China sourcing regions are not obvious
• indicative market pricing would help frame the conversation
• the category has obvious compliance, safety, or MOQ traps

Prefer lightweight market orientation, not exhaustive research.

When searching, aim to gather only enough to answer:

• what this product most likely is
• where it is commonly made in China
• what a rough price band or MOQ looks like
• what major constraints are likely to matter

Prefer multiple signals over one source. Treat pricing as indicative, not quoted truth.

Search guidance

When you browse, prioritize practical commercial signals such as:

• manufacturer pages
• Alibaba / Made-in-China / industry marketplace listings
• Chinese industrial cluster or chamber pages
• trade fair exhibitor pages
• category overviews from industry sources

Cross-check at least 2 sources when stating:

• likely production regions
• indicative price bands
• common MOQ expectations

Be explicit when making an inference from sparse market data.

Workflow

Step 1, normalize the inquiry

Extract whatever is already known:

• product name or buyer wording
• use case
• target market
• quantity or stage, sample / pilot / production
• budget or price expectation
• customization depth
• timing
• reference links, pictures, sample, brand examples
• service expectation, if the buyer already implies supplier search, additional supplier screening, factory visit arrangement, negotiation, sampling follow-up, order follow-up, logistics, or end-to-end support

Then rewrite the demand in one clean sentence.

Use the most commercially useful interpretation, not the most literal wording.

Step 2, identify what the buyer probably wants

Start with a short Chinese explanation of the product request.

Answer in plain terms:

• this is probably what the product is
• this is probably the closest commercial category in China
• this is the likely sourcing model, standard product / modified stock product / semi-custom / full custom

If the product is unfamiliar, use the category lenses in references/category-lenses.md before asking generic questions.

Step 2.5, clarify likely service scope

Before drafting follow-up questions, decide which of these service paths fits best:

• supplier / factory search from scratch
• shortlist additional reliable suppliers beyond the names the buyer already found
• shortlist and comparison of already found suppliers
• factory visit arrangement and accompaniment
• negotiation and deal support
• sampling follow-up when the category supports sampling
• order follow-up after supplier confirmation
• logistics / shipment coordination
• full-process sourcing support from search to delivery

If the buyer's wording is ambiguous, include at least one English question that steers them to choose the service scope.

The skill should gently pull the conversation toward the operator's broader sourcing service, not assume the buyer only wants one narrow task.

Step 3, give a fast market read

Put this near the top of the answer.

Provide a brief Chinese market snapshot covering only the essentials:

• likely China sourcing regions or industrial clusters
• indicative ex-factory price band or common market range
• typical MOQ pattern if obvious
• one or two practical notes about how this category is usually sourced

Keep it concise. The purpose is to help the operator sound grounded fast.

If the data is weak, say so clearly:

Step 4, identify the deal-driving variables

List only the few variables that will decide whether this order can move forward.

Usually 3 to 6 items, for example:

• standard vs custom
• target market and compliance
• quantity and MOQ fit
• target price band
• material / spec / function priorities
• packaging and branding requirements
• sample timing and production timing
• service scope, especially whether the buyer needs only factory visit support or also wants supplier sourcing, additional shortlist options, and downstream follow-up

Avoid generic checklists. Choose the variables that matter for this specific product.

Step 5, generate the client-facing English reply

This is the main deliverable.

The default deliverable is a short first-touch reply, not a detailed intake questionnaire.

Default behavior:

• thank the buyer for reaching out
• confirm the requested product categories in one short sentence
• give one or two sentences showing simple, credible knowledge of the relevant China supply chains or production regions
• introduce the operator's paid services, such as supplier screening, price communication or negotiation, order follow-up, and logistics coordination

• close by asking whether the buyer is comfortable with this approach and would like to continue

The default sequence should be:

1. thanks and accurate understanding
2. light supply-chain or region grounding
3. concise paid-service introduction
4. website reference
5. permission-based next step

Requirements:

• keep the first reply concise, usually 90 to 150 words
• do not ask detailed product-specification questions in the first reply by default
• do not include price bands, MOQ details, risk warnings, or long explanations in the client-facing reply unless specifically useful
• make it clear that supplier screening and related sourcing work are paid services
• the paid-service transition should feel confident and natural, not pushy
• polite, professional, easy for non-native speakers to understand
• if the buyer agrees to proceed, prepare a second message with only the highest-value clarification questions

Good opening moves include:

• Thank you for reaching out and sharing your sourcing needs.
• confirming the request in simple terms
• naming the likely sourcing region or supplier cluster
• briefly stating why the operator is well placed to help, for example local presence in Guangdong / Shenzhen when relevant

Good examples of tone:

• What you are looking for is something that can definitely be handled from Guangdong.
• From what you described, I understand that you are not only looking for products, but also for reliable on-the-ground sourcing support in China.
• Because I am based in Shenzhen, I can support both the preparation before your trip and the factory visit side when you are in China.

Question examples:

• To narrow down the right suppliers, could you share...
• Are you looking for ready-made styles, light customization, or full custom development?
• When you come to China, would you like me to arrange supplier visits as well?

Paid-service transition examples:

• I provide paid sourcing support covering supplier screening, price communication, order follow-up, and logistics coordination.

Avoid overly formal or legal phrasing. Avoid sounding like a salesperson pushing a package too early.

Step 6, flag risks and recommend the next move

Add a short Chinese section with:

• red flags or contradictions
• likely friction points
• whether this should stay in free clarification
• whether it is reasonable to suggest a paid demand scoping / supplier research step

Use practical recommendation labels such as:

• 可继续免费澄清
• 建议先收需求梳理费
• 建议进入付费 supplier research
• 暂不建议投入过多时间

Output format

Use this structure unless the user asks for a different format.

1. 产品需求简析

• 用 2 到 4 句中文说明客户大概率想采购什么

2. 市场初步判断

• 产地 / 产业带
• 大致价格带
• 常见 MOQ / 打样逻辑

• 优先围绕：找厂 / 补 shortlist / 安排看厂 / 商务谈判 / 打样跟进 / 下单跟进 / 物流协调 / 全流程 sourcing support
• 如有歧义，要明确指出需要澄清

4. 这单当前最关键的成交变量

• 3 到 6 条
• 只写最影响推进的变量

5. 建议你发给客户的英文回复

• 默认不是纯问题清单，而是一段可直接转发的英文回复

Question design rules

Questions and reply structure must follow both the product and the service conversion goal. By default, save detailed questions for the second message after the buyer confirms interest.

That means:

• if it is machinery, focus on spec, use case, power, standards, installation, after-sales, and volume
• if it is apparel, focus on material, construction, sizing, finishing, labeling, quantity, and target price
• if it is electronics or smart devices, focus on function, chips/modules, certification, app/connectivity, battery/power, and enclosure/customization depth
• if it is packaging or promo items, focus on dimensions, material, print/finish, usage scenario, quantity tiers, and deadline
• if it is regulated or safety-sensitive, move compliance questions forward

In the first reply, explain the broad paid service scope instead of asking the buyer to choose among many service options. After the buyer agrees to proceed, clarify whether they need:

• whether the buyer only wants factory visit support
• whether the buyer also wants help finding additional reliable suppliers
• whether the buyer needs factory visit arrangement, not just accompaniment
• whether the buyer wants support after supplier selection, such as sampling follow-up when relevant, order follow-up, inspection, shipping, or logistics coordination

Do not ask questions already answered in the inquiry unless the answer is contradictory or vague.

Commercial judgment rules

Optimize for conversion, not for curiosity.

The operator is usually not trying to impress the buyer with analysis alone. The operator is trying to:

• make the buyer feel understood
• reduce uncertainty quickly
• establish local credibility
• avoid sounding like a random middleman
• turn vague interest into a defined next paid step

This skill exists because the operator will often receive inquiries in categories they do not deeply understand. The skill should quickly reduce uncertainty and help the operator sound clear, capable, and commercially grounded.

So prioritize:

• rapid understanding over perfect understanding
• a concise, confidence-building first reply before clarification
• high-value missing information over exhaustive discovery
• permission to continue before sending practical next questions
• service-scope clarification that leads naturally into the operator's paid sourcing offer
• gentle expansion from one isolated request toward the operator's broader sourcing service when it genuinely helps the buyer
• credibility and momentum over volume of text
• a reply flow that sounds like a capable local sourcing partner, not a questionnaire

Failure handling

If the product cannot be confidently identified:

• say the current understanding is provisional
• offer the top 2 likely product interpretations
• ask clarifying questions based on the decision point between them

If no reliable market signals are found:

• say the price / origin view is uncertain
• avoid pretending to know
• still provide the most important commercial questions

If the request is too broad, such as I want to buy construction machines from China:

• first narrow the product family
• do not jump into supplier search logic yet
