Open House Follow-Up

An open house without a follow-up system is unpaid weekend work: the visitors walk out, the sign-in sheet goes in a drawer, and the two real buyers in the room hire whichever agent contacts them first. The costly mistake this skill prevents is treating follow-up as optional or slow - the agent who touches a visitor the same evening wins the relationship before competitors even open the sheet.

Worked example throughout: Priya, a residential agent in a suburban market, 14 transactions last year at a $485,000 average sale price, building toward 24. Her Sunday open house at 742 Alder Court (the $499,000 listing from listing-description-writer) draws 11 visitor parties. Realistic yield: 2-3 parties are active buyers, 3-4 are 6-12 months out, the rest are neighbors and browsers. The gap between 14 and 24 transactions closes on the 6-12-month group - and that group is exactly who buyer-nurture-sequence exists for.

Operating procedure

Order matters: capture quality determines everything downstream, and the same-evening touch decays in value by the hour.

1. Set up capture at the door. Digital sign-in (tablet or QR to a form) - paper sheets produce illegible phone numbers and no structure. Require name, mobile, email, and exactly ONE qualifying question: "Where are you in your search?" with four options: actively looking / starting to look / just curious / I live nearby. One question keeps sign-in friction near zero while splitting the room into workable segments. Greet every party and ask one conversational follow-up ("What are you comparing this one against?") - the answer goes in notes the moment they move on.
2. Annotate within 30 minutes of closing the door. For each party: search stage, anything learned about financing or timeline, what they reacted to in the house. Memory of 11 parties is gone by dinner.
3. Send the same-evening first touch (Touch 1). Non-negotiable. SMS, before 8 PM, personal and specific - template below. Same-evening beats next-morning because the visit is still emotionally live and because the other agents they met this weekend will not move until Monday.
4. Run the rest of the 3-touch sequence (day-2 email, day-5 call).
5. Triage on every response using the buyer-signal rules below.
6. Hand off the not-yet-ready to buyer-nurture-sequence with their segment and notes - this is the handoff that turns one open house into pipeline for the next year.

Inputs to collect

• The annotated sign-in export (if the agent ran paper, transcribe it now and switch to digital next time).
• 2-3 active similar listings for the day-2 value email - reuse the competing-inventory list from the listing file.
• The agent's CRM or, failing that, wherever buyer-nurture-sequence will run. If there is no system at all, set that up before the day-5 calls, not after.
• Seller feedback expectations - visitor count and sentiment go to the seller too (a well-attended open house with no offers is also CMA-narrative evidence if a price conversation is coming; see cma-narrative-builder).

The 3-touch sequence

Touch 1 - same evening, SMS:

Hi [FILL: name], it's Priya - great meeting you at 742 Alder Court today.
You mentioned [FILL: their specific comment - the backyard, the kitchen,
comparing it to the Maple St listing]. Happy to answer anything that came
up after you left. If this one isn't the fit, I can send a couple of
similar ones worth seeing.

Personal, references their words, offers value, asks for nothing. No "just checking in" - every touch must carry something.

Touch 2 - day 2, value email: Subject: "3 homes similar to Alder Court". Two-line note plus 2-3 similar active listings, each with one sentence on why it is relevant to what THEY said ("you wanted a flatter yard - this one delivers that"). This is the listing-alert-plus-context play that buyer-nurture-sequence runs at scale: context beats raw links every time.

Touch 3 - day 5, call: Goal is a conversation, not an appointment ask in sentence one. Script spine: what did you think after sleeping on it → what else have you seen → the two triage questions below. Voicemail if no answer, then an SMS: "Left you a voicemail - no rush, text back whenever."

After Touch 3 with no response: one final "door-open" text at day 10, then into the 6-12-month segment of buyer-nurture-sequence. Silence is not disinterest; it is timing.

Buyer-signal triage

Two questions decide the lane. Ask them naturally by Touch 3 at the latest:

1. Financing status: pre-approved / talked to a lender / not started. Pre-approved buyers are perishable - they transact within weeks with somebody.
2. Timeline: buying in 0-3 months / 3-6 / 6-12 / no idea.

The neighbor row is the most-missed conversion: several of Priya's 11 parties live on or near Alder Court, watched a neighbor list at $499,000, and are quietly wondering what theirs is worth. That is a seller-lead-nurture entry, not a discard.

Realistic conversion thresholds

• Capture rate at the door: 80 percent+ of parties signed in. Below that, the greeting or the friction is the problem - fix the door before blaming the follow-up.
• Same-evening touch: 100 percent of captured parties, no exceptions.
• Response rate to the 3-touch sequence: 30-50 percent is normal. Below 25 percent, the touches are generic - audit Touch 1 for missing personalization.
• Expect 1-2 hot/warm buyers and 3-5 nurture entries per well-attended suburban open house. An open house that yields zero pipeline entries was a capture failure, not a traffic failure.

Deliverable

A triaged lead list from the event: every captured party tagged hot / warm / nurture / community, Touch 1 sent the same evening, Touches 2-3 scheduled, hot buyers booked for showings, nurture entries handed to buyer-nurture-sequence with segment and notes, and neighbors routed to seller-lead-nurture. Plus the seller report: visitor count, sentiment, objections heard.

Do NOT

• Do not use a paper sign-in sheet and call it capture - illegible numbers and no qualifying data.
• Do not ask more than one qualifying question at the door - friction kills capture rate, and the rest gets learned in conversation.
• Do not send Touch 1 the next morning - the same-evening rule exists because speed is the differentiator, and the visit's emotional residue fades overnight.
• Do not send "just checking in" as any touch - every contact carries value (a listing, an answer, a market fact) or it teaches the lead to ignore you.
• Do not pitch a showing appointment in Touch 1 - value first, ask later.
• Do not discard the neighbors - they are the seller pipeline.
• Do not keep manually touching 6-12-month buyers from memory - that is what buyer-nurture-sequence is for, and doing it ad hoc means it stops the first busy week.

Quality bar

• 80 percent+ door capture; 100 percent same-evening Touch 1.
• Every Touch 1 references something the specific visitor said or reacted to.
• Every captured party has a lane by day 5 and the nurture handoff carries segment + notes, not just an email address.
• The seller report goes out within 24 hours.

Escalation and compliance

Real estate is a licensed profession. Listing claims in any follow-up message must be accurate; fair-housing rules prohibit steering and demographic targeting language - recommend listings by property criteria the buyer stated (price, beds, lot, commute), never by the composition of a neighborhood, and never describe areas in terms of who lives there. Follow-up texting and email must honor consent and applicable telemarketing/anti-spam rules - get sign-in consent language approved by the brokerage. Legal and brokerage compliance review applies.
