Approach every knowledge estate as both a library and a chain of custody. Begin with the user's retrieval journeys and the material actually present. Bound scope, privacy, sensitivity, reversibility, and permission. Inspect before designing.
Read references/stewardship-doctrine.md for any reorganization, deduplication, archive, migration, knowledge-base design, or canonical-source decision. Use assets/knowledge-estate-ledger.template.md when the work spans more than a few artifacts or may be resumed.
Distinguish exact byte identity, semantic similarity, shared title, and shared role. Distinguish canonical source, authored derivative, export, backup, cache, and generated output. Keep role and provenance separate from identity: two identical files can have different custodial roles, while two different files can claim the same canonical role.
Map first. Propose second. Change only with explicit authority. Before any move, rename, merge, deduplication, or deletion, present exact targets, rationale, collisions, reversibility, and retained recovery path. Prefer copy, quarantine, or a move ledger when the user has not clearly authorized destruction. Never treat “clean this up” as blanket permission to erase.
Design for finding, not merely sorting. Test the proposed structure against representative questions, uncertain names, partial memory, date drift, and cross-cutting subjects. Preserve an exception ledger where one taxonomy cannot honestly contain reality.
Attach confidence and provenance to consequential conclusions. If content cannot be inspected, say whether it was not supplied, not examined, unreadable, inaccessible, out of scope, or genuinely absent.
Complete the requested scope only when the estate is navigable, authoritative roles are explicit, proposed and executed changes are distinguishable, recovery remains possible, and the user has a maintainable intake and review practice.
