Claude for home care and senior care agencies

Your best caregiver called out at six this morning, a daughter in Ohio wants to know why her mother's shower moved to Tuesday, and the policy binder has not been opened since the last inspection. Four of those jobs are mostly writing, and writing is the part you can hand to Claude in a browser tab this week. Here are the exact prompts, plus the places I tell agency owners not to use it, and every workflow runs on de-identified notes because the consumer plans are not the place for client records.

Set each one up once inside a Claude Project, with this business's own documents in the project knowledge, and the drafts come back in their voice rather than a generic one.

How to use this skill

Ask the person which of the workflows below matches what is on their desk right now. Then walk them through that one only. Give them the prompt in full, tell them exactly which bracketed placeholders to replace, and say how long first-time setup really takes. Do not run all four at once; the point is that one of them is working by the end of the conversation.

Before handing over any prompt, read the limits section at the end and say plainly which parts of their job this should not touch.

1. Turn the care plan into a summary families understand

What happens today. You finish the assessment, the plan goes in the binder, and three weeks later the daughter calls angry that nobody is doing the laundry. You are relitigating a scope of service she signed and never actually read.

What happens instead. The family gets a one page summary at start of care that says in plain words what the caregiver does, what the caregiver does not do, and who to call. The week three argument mostly stops happening.

First-time setup: about 25 minutes.

You are helping a home care agency turn an approved care plan into a one page summary the client's family can read and keep. A licensed nurse or care manager has already assessed this client and written this plan. Do not add, remove, or change any task, and do not comment on the client's condition or on the level of care.

Here is the plan content with identifiers removed. I have taken out the name, address, date of birth, and client ID:

2. What your caregiver does, grouped by visit routine rather than by clinical category
3. What your caregiver does not do, with one short neutral sentence on why for each item
4. What we need from you, such as a key or lockbox, pet arrangements, and supplies kept in the home
5. Who to call and when, with the office number and after hours number as bracketed blanks

Rules: eighth grade reading level, no clinical jargon, no medical advice, and no hours or dollar figures beyond what I gave you. Write [CLIENT FIRST NAME] everywhere the name belongs so I can fill it in after. At the end, under a heading called Needs a human answer, list anything you could not write clearly from what I gave you.

2. Write the weekly family update from caregiver notes

What happens today. The out of state daughter calls the office twice a week asking how her mother is doing. Whoever picks up scrolls through terse visit notes and improvises something reassuring in the middle of covering a shift.

What happens instead. A short update goes out every Friday, built from the notes your caregivers already write. Those calls turn into replies to your email instead of interruptions during a scheduling crisis.

First-time setup: about 20 minutes.

You are writing a weekly family update for a home care agency. Work only from the caregiver notes I give you. Never add an observation, a symptom, or a conclusion that is not in the notes, never assess the client's condition, and never suggest a change to the care plan.

Here are this week's caregiver notes, with identifiers removed:
[paste the de-identified visit notes. Keep out the name, address, date of birth, and client ID. Ordinary observations are fine: meals, mood, sleep, activity, what got done, what did not]

Who this update goes to and what they care about:

A past update we sent that landed well, for tone:

Write the update as a short email with:
1. One opening line on how the week went overall, without overstating it
2. Three to five specific things that happened, each in one or two sentences, written the way a person would say them out loud
3. What changed from last week, only if the notes show a change
4. Anything the family needs to do or decide, as a short list
5. A closing line inviting questions, with the office number as a bracketed blank

Rules: warm, but not cheerful about hard things. No clinical interpretation and no reassurance you cannot support from the notes. Use [CLIENT FIRST NAME] and [FAMILY FIRST NAME] as placeholders. Under a heading called Flag for the office, list anything in the notes a supervisor should look at before this goes out.

3. Rewrite the caregiver job post so the right people apply

What happens today. You repost the same ad every month, get forty applicants, and half never answer the phone. The two who make it to an interview wanted a different schedule than the one you are actually trying to fill.

What happens instead. The post names the real shift, the real work, and the real reason someone stays, and it comes with screening questions for the first call so a schedule mismatch shows up in four minutes instead of four days.

First-time setup: about 20 minutes.

You are writing a caregiver recruiting post and a first call screening script for a home care agency. Write honestly. Do not invent pay, benefits, hours, or claims about our agency that I did not give you.

Our agency:
[agency name, city or service area, how long you have been open, and one true thing that makes working here different, such as guaranteed hours, consistent client assignments, or a nurse who answers the phone at night]

The opening I am filling right now:
[shift days and hours, the client situation in general terms with no identifying details, whether driving is required, and what certification is required, such as CNA, HHA, or none]

Pay and benefits exactly as I can state them:
[hourly range, overtime, mileage, paid training, time off. If I left something out, leave it out rather than guessing]

Write three things:
1. A job post of about two hundred words that opens with the shift and the work instead of a paragraph about our mission, states the pay range exactly as I gave it, and names one honest hard part of the job
2. A shorter version of the same post for a text message or a job board with a tight character limit
3. Eight first call screening questions in the order I should ask them, starting with the ones that disqualify fastest, such as schedule, transportation, and distance. For each one, add a line on what a good answer sounds like and what should make me stop

Rules: no words like rockstar or family atmosphere, no promises beyond what I gave you, and nothing that could read as screening on age, health, family status, or any other protected characteristic. Under a heading called Have your employment attorney check, list anything that touches worker classification, overtime, or wage rules in my state.

4. Prep for a state survey using your own policy binder

What happens today. The binder holds policies somebody wrote years ago, the caregivers have never read them, and you find out what is missing when a surveyor is standing in your office asking a question the file does not answer.

What happens instead. You work through your own policies one at a time and get back the questions a surveyor could ask about each, what to go pull from your files, and a one page in-service version your caregivers will actually read.

First-time setup: about 35 minutes.

You are helping a home care agency prepare for a state licensing survey by working through its own written policies. You are not a source of regulatory requirements. Do not tell me what my state requires, do not cite a regulation number, and do not say a policy is compliant or noncompliant. Everything you produce is a preparation worksheet that I will verify against my state's actual licensing regulations and my accrediting body.

Here is one of our written policies, with client and staff names removed:

3. For each question, the record or document that would answer it, phrased as what I should go find rather than as a claim about what exists
4. A gap list: places where the policy is vague, silent, or contradicts itself, written as a question for me to resolve rather than as a finding
5. A one page in-service handout for caregivers covering this policy at an eighth grade reading level, ending with five check for understanding questions

Rules: no regulation citations, no state specific requirements, no assertions about what a surveyor must accept. Under a heading called Verify with your state, list every point where the answer depends on my state's rules so I can look those up directly.

What not to use Claude for here

Say these out loud rather than waiting to be asked. Being trusted is worth more than being impressive.

• Client health information in a consumer chat window. Do not paste client names, dates of birth, addresses, medication lists, physician orders, or exports from your scheduling and EVV system into claude.ai on a Free, Pro, Max, or Team plan. Anthropic provides a Business Associate Agreement covering its HIPAA-ready services, such as the first-party API or an Enterprise organization where the Primary Owner activates HIPAA compliance and accepts the BAA, and the consumer plans sit outside that coverage. That is why every prompt here is written to run on de-identified notes and reusable templates.
• Care decisions. Claude cannot assess a client's condition, determine a level of care, set how many hours someone needs, judge fall risk, or weigh in on whether a client can stay home safely. Those are clinical judgments that belong to the nurse or care manager who owns the plan, under your state's supervision rules. Claude only helps explain a decision a qualified person already made.
• Telling you what your state requires. Licensing rules, caregiver training hours, supervisory visit intervals, and survey standards vary by state and they change, so a confident written summary of the requirements is exactly the wrong thing to rely on. Verify against your state licensing agency's actual regulations and your accrediting body. Using Claude to build the list of questions you take to them is fair game.

Questions this business usually asks

Can I paste client names, care notes, or scheduling exports into Claude?

Not on a Free, Pro, Max, or Team plan. Anthropic's Business Associate Agreement covers its HIPAA-ready services, such as the first-party API or an Enterprise organization where the Primary Owner activates HIPAA compliance and accepts the BAA, and the consumer plans are outside it. Anthropic's own guidance for the consumer products also tells you to be careful about health records and medical information. That is why every prompt here runs on de-identified notes with a placeholder where the name goes, and you fill the name in yourself after the draft comes back.

We are private pay and not Medicare certified. Does any of this apply to us?

Possibly not as a HIPAA matter. Plenty of private pay non-medical agencies are neither a covered entity nor a business associate, and if that describes you, HIPAA may not reach your client records at all. It does not change much in practice. State privacy and elder protection laws still apply, your service agreements almost certainly promise confidentiality, and a family who learns their mother's daily notes went into a chat window will not care which federal statute it fell under. Ask your attorney where you actually stand, and keep working from de-identified notes until you know.

Do I need a paid plan to do any of this?

No. All four run on the free plan in a browser. Projects, where you store your templates and a few real examples of your own writing so you are not pasting them every time, are available to all users including free accounts, with a cap of five projects. That covers one project for family communication, one for hiring, and one for policies. Paid plans start to matter when you are loading a lot of reference material or hitting message limits during a bad scheduling week.

What about the six in the morning callout, when a caregiver does not show?

That is the fifth workflow and the easiest one to set up, because you are writing templates rather than messages about a specific person. In one sitting, build a set you keep in a project: the text to caregivers who could pick up the shift, the call script and follow up note for the family, the internal handoff to whoever owns the schedule, and the version you send when nobody is available and the visit has to be shortened. Paste in three or four messages you have actually sent so the drafts sound like your office instead of a call center, then keep them where your on call person can copy from at six in the morning without thinking.
