When to activate
- You're a solo or boutique coach (executive, leadership, life, business, sales, health) and the operational work between sessions is eating your delivery time
- You want session follow-up emails and action lists drafted within minutes of a call ending, instead of "I'll write it tomorrow" turning into next week
- A discovery call just happened and you need a proposal or package recommendation drafted before the lead cools
- You're packaging or repackaging your services and want structured help writing the package descriptions, pricing rationale, and sales page
- You run a group program and need cohort emails, week-by-week sequences, and onboarding materials
When NOT to use
- You have a virtual assistant or business manager who already runs these workflows efficiently for you
- Your coaching practice is high-touch enough that every email genuinely needs to be written from scratch (rare, but real for the highest-end practices)
- You're early-stage and don't yet have a methodology to model — write 5-10 sessions worth of notes yourself first so Claude has a voice to match
Instructions
Step 1: Set up your coaching context
Spend 30 minutes on this. It's the single most important step for a coaching practice.
Say:
"I'm a [coaching specialty — executive, leadership, sales, health, etc.] coach. My ICP is [persona: their role, industry, situation, what they're stuck on]. My methodology in one paragraph: [your framework]. My signature phrases or frameworks: [list 3-5 phrases your clients quote back to you]. My packages are: [list each, with price and what's included]. My brand voice is [warm-and-curious / direct-and-challenging / coach-as-thinking-partner]."
Step 2: Session follow-up
After every session, drop the transcript or your typed notes into Claude.
Say:
"Here are my notes from today's session with [client]. We discussed [topics]. The two big shifts they noticed were [X and Y]. The action items they committed to are [list]. Draft: (1) the session recap email in my voice, (2) a structured action list they can copy into their notes, (3) a short reflection prompt for them to journal on before our next session."
Claude produces the package in 60-90 seconds. You review, send the email, and the action list either goes into their portal or attaches to the email.
The compounding value: if you run 20 sessions per week and save 15-20 minutes per session on follow-up, that's 5-7 hours per week back.
Step 3: Discovery call to proposal
Right after a discovery call, you have the freshest read on what the prospect needs. Most coaches lose time between the call and the proposal — and lose deals to faster competitors.
Say:
"Here are my notes from the discovery call with [name]. They are [role] at [company]. They came to me because [presenting issue]. The underlying issue I noticed is [your read]. They have budget for [package or range]. Their decision timeline is [timing]. Draft a proposal email that: (1) references the specific words they used about their stuck-point, (2) maps to my [package name] package, (3) includes pricing, deliverables, and a clear next step."
You get the proposal email in your voice, referencing the prospect's actual language. Edit and send within an hour of the discovery call, not three days later.
Step 4: Package and pricing copy
When you're packaging or repackaging:
Say:
"I want to package my one-on-one coaching into three tiers: [describe each]. Pricing is [$X, $Y, $Z]. Draft: (1) the website package descriptions, (2) the FAQ section that addresses pricing objections and the "is this for me" question, (3) two case-style testimonial templates I can populate with real quotes."
Edit, brand-voice it, deploy.
Step 5: Group program orchestration
For coaches running cohort-based programs:
Say:
"I'm running an 8-week group program called [name]. The cohort is [size] people. The weekly structure is [describe]. Draft the week-by-week email sequence — for each week, the pre-call setup email, the post-call recap, and the homework prompt."
You get 24 emails (3 per week × 8 weeks) in one session. The personalization for each cohort happens on top of the baseline structure — much faster than starting from scratch.
Step 6: Newsletter and content
Most coaches have or should have a newsletter. See the Newsletter Publisher skill for the dedicated workflow. Cross-reference your coaching context document so newsletter voice and coaching voice align.
Example
You're an executive coach. Average package is $18,000 for a 6-month engagement. You run 18-22 sessions per week with active clients plus 3-5 discovery calls per week with prospects.
The work that previously ate your evenings: session follow-up emails (12 minutes each × 20 sessions = 4 hours per week), proposal drafting (45-60 minutes per proposal × 4 proposals per week = 3-4 hours per week), and the weekly newsletter (3-4 hours).
You set up the session follow-up workflow first. After your Tuesday morning session with Andrea — a VP of Product transitioning into a Chief Product role — you drop the session notes into Claude:
"Session notes from Andrea today. She's preparing for the CPO transition. We worked through her concerns about the executive committee dynamics — she said 'I keep deferring to David on product strategy questions even when I have a stronger read,' and we mapped this to her pattern of seeking permission. Two action items: she's going to lead the next product strategy discussion at the exec sync without pre-clearing her position with David. She's going to journal on the line between collaboration and permission-seeking before our next call. Quote she landed on: 'My job isn't to ask. My job is to bring the read.'"
Claude produces the recap email. The opening: "Andrea — the line you landed on today ('My job isn't to ask. My job is to bring the read.') is going to keep showing up over the next two weeks if you let it. Quick recap of what we covered, and the two things you're trying between now and Friday." The action list follows. The reflection prompt closes.
Total time: under 2 minutes from when you finished the session to when Andrea's recap was in her inbox. You used to write that email at 9pm. Now it's done before your next session starts.
Across 20 weekly sessions, you save 3-4 hours. Across 4 weekly proposals, you save another 2-3 hours. The week is structurally less depleted. You take Friday afternoons for thinking work instead of admin catchup. That's the change worth the entire stack.
