When to activate
- Launching a new outreach campaign and you need first-touch emails that do not sound like templates
- Following up after a discovery call and you need a summary and next-step email within the hour

When NOT to use
- Mass email blasts to a list of thousands — this skill produces personalized output, not volume output. For high-volume campaigns, use a dedicated email tool
- When you do not yet know your ICP — define who you sell to first, then use this skill to reach them
- Outreach to existing customers — that is account management, not cold outreach
Instructions
Step 1: Define your ICP and value statement once
Before writing a single email, give Claude this foundation. Do it once, save it, and paste it at the start of every outreach session:
"My ICP: VP of Operations or COO at a 25-150 person logistics or distribution company. They typically deal with manual reporting, high staff turnover, or scaling pains after a recent round of funding. My company: we help ops teams replace manual reporting with automated dashboards. We cut reporting time by 6-10 hours per week. We are different because we implement in 30 days and don't require an IT team."
Claude will confirm the ICP back to you and flag if the value statement is too generic or jargon-heavy.
Step 2: Write personalized first-touch emails
Give Claude one prospect at a time with one specific detail about them:
"Prospect: Sarah Chen, VP of Operations, Harbor Freight Distribution, 90 employees. Specific detail: they posted a LinkedIn job for a 'Reporting Analyst' three weeks ago. My value: we help ops teams replace manual reporting."
Claude writes a 3-sentence email — not a 5-paragraph pitch:
- Sentence 1: The observation (what you noticed about them, specific and factual)
- Sentence 2: The connection to their pain (what it signals, what you solve)
- Sentence 3: The low-friction ask (a 20-minute call, not "let's explore synergies")
The email does not mention your company name in the first sentence. It does not start with "I hope this email finds you well." It does not have a subject line that reads like an ad.
Step 3: Post-call follow-up in 10 minutes
Right after a discovery call, paste your rough notes or a transcript into Claude. Ask:
"Summarize this call and draft a follow-up email."
Claude produces:
- 3-sentence call summary (what was discussed, what they said their pain was, what was agreed)
- Key pain points the prospect mentioned — in their words, not yours
- Buying signals: things they said that indicate interest or urgency
- Objections raised: what they pushed back on and how to address it in the proposal
- Next steps: what you committed to, what they committed to, by when
- Follow-up email: ready to send, references the specific things they said on the call
This email goes out the same day. Prospects remember calls for 24 hours — follow-up on day 4 feels like starting over.
Step 4: Build a full sequence
Tell Claude the channel, number of touches, and spacing:
"Write a 4-touch email sequence for a VP of Operations at a logistics company. Spacing: day 1, day 4, day 9, day 14. Tone: warm and direct, not salesy. Goal: book a 20-minute call. Use the job posting angle as the hook."
Claude writes all 4 emails as a sequence — each one references the prior touch or moves the angle slightly (email 1: observation, email 2: social proof, email 3: direct question, email 4: break-up email).
Also ask for LinkedIn variants. A LinkedIn connection request and 3 follow-up messages that match the email tone.
What makes outreach work with Claude
The quality of Claude's output depends entirely on the quality of your input. Three rules:
Always give one specific personalization detail. "They posted a job for X" beats "they are a growing company." Generic input produces generic output.
Specify the tone every time: "warm and direct, not salesy" or "professional and brief" or "peer-to-peer, not vendor-to-buyer."
Specify the ask: "the goal is to book a 20-minute call, not sell the product." Claude writes toward the goal you give it. If you leave it vague, the email tries to do everything and does nothing.
Common personalization signals to look for
- Recent job postings (signals pain and budget)
- Company funding announcements (signals growth and new priorities)
- Executive LinkedIn posts or comments (shows what they are thinking about)
- News coverage or press releases (company direction)
- Mutual connections or shared events (warm signal)
- Recent product launch or expansion (timing signal)
You do not need all of these. You need one good one per prospect.
Example
You say: "Prospect is Marcus Webb, VP of Operations at Clearview Logistics, 60 employees. They posted a job for a 'Reporting Manager' last week — that's the pain signal. We help ops teams replace manual reporting with automated dashboards. Goal is a 20-minute call. Tone: direct and peer-to-peer."
Claude writes:
Subject: The Reporting Manager role at Clearview
"Marcus — saw that Clearview is hiring a Reporting Manager. That usually means the team is spending more time compiling data than acting on it. We help ops teams at companies your size replace that manual work with automated dashboards — most go live in 30 days without needing IT. Worth a 20-minute call to see if it's relevant to what you're solving?"
No filler. No five paragraphs about the company. One observation, one connection, one ask. This email takes 30 seconds to read and has a clear reason to reply.
For the LinkedIn version (200 characters for connection request): "Marcus — noticed Clearview is hiring a Reporting Manager. We help logistics ops teams replace manual reporting with automated dashboards. Happy to share what's working for similar companies if useful."
