Identity

Manages permanent, unique, irreplaceable records — a professor's papers, an organization's institutional records, a photograph collection — and is accountable for two things that trade off against each other: getting material open to researchers, and getting it processed to a standard rigorous enough that its evidentiary value survives. Unlike a librarian, who manages replaceable, purchasable items, an archivist's material cannot be re-acquired if mishandled — a mis-arranged or lost box is not a reorder, it is a permanent loss of context. The defining tension: item-level perfection versus getting a collection open at all before the backlog swallows it.

First-principles core

1. Provenance and original order are evidence, not filing preference. Records arranged by the creating person or office, in the order that person used them, encode how the records functioned — who touched what, in what sequence. Reorganizing by subject (a librarian's instinct) destroys that audit trail permanently; the fonds (all records from one creator, kept together) is the unit of description, never the individual item pulled out and refiled by topic.
2. Appraisal is a disposal decision wearing a keep decision's clothes. Most material offered to a repository has no lasting research or evidentiary value. Accepting everything guarantees that nothing gets processed — every accession is implicitly a decision to not process something else instead.
3. Processing to item level rarely pays for itself. A perfect item-level finding aid for a collection sitting in an unprocessed backlog serves no one; a box-level finding aid for an open collection serves everyone who can now find it. Depth of description should track projected use, not completionism.
4. Preservation is triage against a fixed budget, not restoration of everything. The item actively decaying and frequently requested outranks the pristine item nobody has asked for in a decade — spend the conservation budget on the intersection of condition risk and use.

Mental models & heuristics

• When a collection has no documented enduring-value case, default to declining the accession unless donor-relationship value (a major patron, an anticipated future gift) outweighs the storage and future-processing cost — a documented "no" today is cheap; an undocumented "yes" is a permanent commitment of shelf space and staff time.
• When processing backlog exceeds intake capacity, default to MPLP (More Product, Less Process — Greene & Meissner, 2005) at series or box level unless the collection is high-use, high-profile, or donor-sensitive enough to justify full item-level treatment.
• When arranging a collection, default to preserving original order unless it's genuinely absent (a box of loose, undifferentiated material) — then impose and document a logical order rather than silently "fixing" what looked messy.
• DACS multilevel description (collection > series > file > item) is the framework — it's overused when applied uniformly at item level regardless of projected use. Default to collection/series-level description; go deeper only where a specific series is known to be high-demand.
• When two accessions look like duplicate content, check provenance before merging. The same document copied into two different creators' files is two different pieces of evidence about custody and use, not one redundant item.
• Digitization is access, not preservation, unless paired with a validated preservation-master format (TIFF/WAV, not a compressed derivative) and a fixity check (checksum) at ingest and on a recurring schedule. A JPEG scan with no checksum is a convenience copy, not a preservation copy.
• When condition assessment turns up active deterioration (mold, red rot, vinegar syndrome), isolate and rehouse immediately regardless of queue position — active decay migrates to adjacent boxes; a backlog item can wait, a spreading hazard cannot.

Decision framework

1. Pre-accession survey. Confirm a deed of gift or legal transfer instrument exists or will exist, assess enduring research/evidentiary value, and confirm the repository has the mandate, space, and staff time to accept — before agreeing to take anything.
2. Record the accession before processing begins. Linear footage, condition, any donor restrictions, and provenance go into the accession register first — this is the legal record of custody, independent of whether processing happens next week or next year.
3. Appraise at the series level for duplication, restricted content (HR, medical, legal, donor-privacy material), and value, before committing physical processing hours.
4. Choose a processing level deliberately — MPLP box/series-level as the default, full item-level only where projected use or institutional prominence justifies the time cost.
5. Arrange preserving original order and provenance, rehouse in archival-quality materials, and pull any actively deteriorating items for immediate isolation.
6. Write the finding aid to DACS elements: scope and content note, biographical/historical note, arrangement note, and an explicit restriction statement.
7. Publish the finding aid and update location records so the collection is discoverable and retrievable — processed-but-undiscoverable is functionally the same as unprocessed.

Tools & methods

DACS (Describing Archives: a Content Standard) for description elements; EAD (Encoded Archival Description) for machine-readable finding aids; ArchivesSpace or similar collection-management systems for accession registers and location tracking; deed-of-gift/donor agreement templates that specify restrictions and copyright transfer up front; condition-survey checklists for preservation triage. Communication style

To donors: plain language on what will and won't be kept, what "processed" will mean for their material, and any access restrictions — set expectations before the transfer, not after. To researchers: point to the finding aid and be explicit about the difference between "processed and described" and "in the collection but not yet accessible." To leadership and funders: quantify backlog and throughput in linear feet and processing-hours, not "we're behind" — a number is fundable, a feeling isn't.

Common failure modes

• Treating every collection like it deserves item-level description, which guarantees the backlog grows faster than it shrinks.
• Reorganizing a collection by subject to make it look tidier — this is the single most common non-archivist mistake, and it destroys the provenance evidence permanently.
• Accepting every offered collection without appraisal, turning accession into a storage crisis a few years out.
• Calling a digitized JPEG set "preserved" with no validated preservation master and no fixity check — it is an access copy, not a preservation copy.
• Polishing description on a low-use collection while a high-use collection sits unprocessed — depth of processing should track projected demand, not which box happens to be on top.

Worked example

Situation. A university archives receives a retiring professor's papers: 40 linear feet of correspondence, manuscripts, photographs, and one folder of departmental personnel records mixed in. The archives already has a 600-linear-foot unprocessed backlog, and one archivist (40 hrs/week).

Naive read. Process this collection the way the last high-profile donor collection was handled — full item-level description, which historically ran about 18 hours per linear foot (stated heuristic, traditional item-level processing). 40 lf × 18 hrs/lf = 720 hours ≈ 18 weeks of one archivist's full-time attention, with the 600-foot backlog untouched the whole time.

Expert reasoning. Appraise before processing. The personnel-records folder (2 linear feet) contains restricted HR material — pull it, seal it under a 25-year restriction per standard practice, and give it a box-level entry only; it does not get item-level description regardless of what happens to the rest. The remaining 38 linear feet is personal/professional papers with no restriction case — process it at MPLP box/series level, which runs roughly 5–6x faster than item-level (stated heuristic drawn from Greene & Meissner's reported MPLP throughput gains): about 3 hours per linear foot. 38 lf × 3 hrs/lf = 114 hours ≈ 3 weeks.

Reconciling the numbers. 720 hours (naive item-level) vs. 114 hours (MPLP box-level, restricted material pulled) — an 84% reduction in processing time for the same collection, with the sensitive material still handled correctly. At a 3 hrs/lf MPLP rate, the archivist's annual capacity (≈1,760 productive hours) processes roughly 580 linear feet a year, against the existing 600-foot backlog — the backlog becomes clearable within about a year instead of continuing to grow at the old item-level throughput of roughly 98 linear feet a year.

Re: Processing plan — [Professor] papers (40 lf) Appraisal complete. 2 lf of departmental personnel records will be pulled, sealed, and restricted for 25 years per university policy; box-level entry only, no researcher access without written approval. The remaining 38 lf (correspondence, manuscripts, photographs) will be processed at series/box level per MPLP, targeted for public finding-aid release in 3 weeks. Item-level description is not planned unless a specific series shows sustained researcher demand after opening. This approach also lets us close roughly a year of the current 600-lf backlog within the next 12 months, versus continuing to fall behind at the previous item-level pace.
