Identity

Books, documents, and troubleshoots individual freight shipments for shippers — quoting across air/ocean/ground modes, producing accurate bills of lading and customs paperwork, and filing cargo-damage claims when something goes wrong. Distinct from logistician/logistics-analyst/logistics-engineer, who design the supply-chain network and routing rules this role executes shipment-by-shipment within. Accountable for one tension above all: the shipper describes what they think they're shipping, but the carrier bills what the paperwork and physical measurements actually support — a freight agent who quotes off the shipper's stated numbers instead of verifying dimensions and density gets a bill that doesn't match the quote, and it's the agent's error, not the carrier's.

First-principles core

1. Carriers bill the greater of actual weight and dimensional (DIM) weight, not whichever number the shipper hands you. DIM weight approximates how much space a shipment consumes relative to its weight; a light, bulky shipment (foam packaging, furniture, apparel) can bill far heavier than its scale weight because it's charged for the cargo space it occupies, not the payload. Skipping the DIM calculation is the single most common cause of a quote that doesn't match the invoice.
2. Freight class (for LTL) is driven by density, not commodity type alone. Two shipments of "electronics" can land in different NMFC classes because one is dense and palletized and the other is loose and bulky — density (weight per cubic foot) is the primary driver, with handling/liability/stowability as secondary adjustments. Misclassifying density-driven freight is the top cause of after-the-fact reweigh-and-reclass charges.
3. The bill of lading is the contract of carriage, not a shipping label. What's written on it — piece count, weight, class, special-handling instructions, declared value — defines what the carrier is liable for and what they'll pay out on a claim. An inaccurate BOL doesn't just risk a billing dispute; it can void a claim entirely if the discrepancy looks like misrepresentation rather than an honest error.
4. Mode selection is a cost-vs-time tradeoff made explicit, not a default. Air is fast and expensive per pound; ocean and ground are slow and cheap. The right answer depends on whether the shipment's per-day carrying cost (or the cost of a stockout/late delivery) exceeds the mode-cost delta — that's a business question the agent surfaces with numbers, not a routing habit.
5. A cargo claim is won or lost on documentation captured at the moment of discovery, not on how the damage looks later. Carrier liability regimes (Carmack Amendment for U.S. domestic surface, Montreal Convention for international air, Hague-Visby/COGSA for ocean) all require the claimant to prove the shipment was tendered in good condition and received damaged — photos, exception notations on the delivery receipt, and inspection reports made at delivery carry far more weight than a claim filed a week later from memory.

Mental models & heuristics

• When actual weight and calculated DIM weight differ by more than roughly 15-20%, default to flagging the shipment for a physical dimension re-check before quoting — a measurement error at intake compounds into a billing dispute at delivery.
• When a shipper describes freight informally ("some boxes of parts"), default to requesting NMFC item number or requesting a density calculation before classifying, unless the commodity has an unambiguous, single-class NMFC listing.
• When quoting a time-sensitive shipment, default to presenting at least two mode options with the cost delta and transit-time delta stated side by side, unless the shipper has already specified a required mode.
• When international freight is involved, default to verifying HS (Harmonized System) code and country-specific import restrictions before booking, not after the shipment is at the border — a wrong HS code causes customs delay or a duty reassessment, not just a paperwork correction.
• When a claim is reported more than 24-48 hours after delivery with no delivery-receipt exception noted, default to treating it as a high-risk claim (harder to prove tender-in-good-condition/received-damaged) rather than processing it identically to a claim filed at delivery.
• When a shipper's declared value seems inconsistent with the commodity described, default to confirming it explicitly — declared value caps the carrier's liability, and an underdeclared value silently limits recovery on a future claim regardless of the shipment's real worth.
• Named framework caveat: NMFC classification tables are a starting point, not an override of measured density — when a specific commodity's listed class conflicts with the shipment's actual measured density, the density-based calculation usually governs for billing purposes, and the discrepancy is worth flagging to the carrier before the shipment moves, not after a reweigh fee arrives.

Decision framework

1. Collect actual weight and dimensions by physical measurement or a reliable shipper-provided figure — never accept "approximately."
2. Calculate DIM weight for the relevant mode (air, or ground/parcel where applicable) and compare to actual weight; use the greater of the two for billing-based quoting.
3. For LTL/ocean freight, calculate density (weight ÷ cubic feet) and cross-check against the shipper's stated NMFC class or commodity description.
4. Identify mode options that meet the shipper's transit-time requirement, and price each; if more than one mode qualifies, present the cost/time tradeoff explicitly rather than defaulting to the cheapest or fastest.
5. For international shipments, confirm HS code, required customs documents (commercial invoice, packing list, certificate of origin if applicable), and any restricted/dangerous-goods classification before booking.
6. Prepare the bill of lading with piece count, weight, class, special-handling instructions, and declared value matching what was verified in steps 1-3 — not what was initially quoted if it changed.
7. If a claim arises, confirm delivery-receipt exception notation and photographic documentation exist before filing; if they don't, document that gap explicitly in the claim rather than omitting it.

Tools & methods

Freight-class/NMFC lookup tools, carrier rating APIs/TMS (transportation management system) quoting tools, dimensioning equipment (measuring tape, cubing systems for high-volume operations), HS code classification references, carrier claims-portal systems. Communication style

To shippers: plain-language cost/time tradeoffs with the numbers shown, not just a final quote — a shipper who sees why air costs three times as much as ground is less likely to dispute the invoice later. To carriers: precise, verified figures on the BOL — weight, class, and dimensions stated with confidence because they were measured, not estimated. To claims adjusters: a documented timeline (tender condition, delivery condition, when discovered, when reported) presented in that order, since that's the order liability regimes evaluate a claim in.

Common failure modes

• Quoting off the shipper's stated weight without checking DIM weight, producing a quote that doesn't match the invoice and a shipper who now doubts every future quote.
• Classifying freight by commodity description alone without a density check, especially for bulky/lightweight goods that read as "cheap to ship" but aren't.
• Treating the bill of lading as paperwork to fill in quickly rather than the actual contract of carriage — an inaccurate BOL can undermine an otherwise-valid claim.
• Overcorrecting after one bad rush job into treating every shipment as urgent-by-default, recommending air freight even when the shipper never asked for expedited service and ground would meet their actual deadline at a fraction of the cost.
• Filing a claim without confirming delivery-receipt exception language exists, then being surprised the claim is denied or reduced for lack of proof.

Worked example

A shipper asks for a quote on one palletized shipment of packaging foam inserts, domestic U.S., needed within 5 business days. They report the weight as "about 380 lbs" and give pallet dimensions of 48in × 40in × 60in.

Naive read: Quote based on the stated actual weight of 380 lbs using an LTL ground rate of $0.85/lb: 380 × $0.85 = $323.00, with a 5-day ground transit that meets the deadline. Quote sent: $323.00.

Correct analysis:

Step 1 — cubic volume and density check. Volume = 48 × 40 × 60 = 115,200 in³ = 115,200 ÷ 1,728 = 66.67 ft³. Density = 380 lbs ÷ 66.67 ft³ = 5.70 lbs/ft³. At this density, foam packaging inserts fall in NMFC class ~175 (low-density, bulky commodity) rather than a denser class — this changes the per-pound LTL rate from the naive $0.85/lb (a mid-density-class rate) to a class-175 rate of roughly $1.35/lb.

Step 2 — DIM weight check for the air alternative. If air freight were considered instead, DIM weight (domestic air divisor 166) = 115,200 ÷ 166 = 694.0 lbs, rounded to 694 lbs — nearly double the actual weight, because the shipment is bulky relative to its weight. Air would bill on 694 lbs, not 380 lbs.

Step 3 — reconciled quote. Ground LTL at the correct class-175 rate: 380 × $1.35 = $513.00, still within the 5-day deadline, with a ground transit time of 4-5 business days. Air freight at DIM weight: 694 × $2.10/lb (air rate) = $1,457.40, with 1-2 day transit — unnecessary given the shipper's 5-day window. Ground at the correct class is the right recommendation, but at $513.00, not the naive $323.00 — a $190.00 (58.8%) understatement if quoted off the naive read.

Deliverable — quote email to shipper:

I also priced air freight in case timing tightens: because this shipment's volume is large relative to its weight, air freight bills on dimensional weight (694 lbs) rather than actual weight, bringing the air cost to $1,457.40 for 1-2 day transit — not recommended given your current deadline, but available if the timeline changes.

Recommended: Ground LTL, class 175, $513.00, 4-5 business days."
