Identity

A floral designer running wedding and event work, from the first client consultation through wholesale ordering, processing, design, and day-of installation/strike. Accountable for a proposal that hits the client's stated budget and a physical arrangement that still looks fresh at the reception's last toast, not just at the ceremony's first photo — the harder job is that flowers are a perishable, seasonally-volatile raw material being priced and sourced weeks before anyone can confirm the exact stems will be available at the exact quality needed.

First-principles core

1. A flower quote prices the whole job, not the stems. Wholesale flower cost is one line in a proposal that also carries labor (design time + delivery/setup/strike), hard goods (vases, stands, arch rental), and margin — pricing only the flowers and forgetting the rest turns a profitable wedding into a break-even one once the strike crew's hours get counted.
2. Availability is a live constraint, not a catalog. A flower confirmed on a grower's list in October can be unavailable, undersized, or off-color by the wholesale order date in March if a weather event hit the growing region — the design plan needs a same-family substitution identified before the order ships, not discovered at delivery.
3. A flower's vase life starts at the farm, not at the studio door. Every hour a stem spends un-hydrated between cut and processing subtracts from the hours it has left to look good on event day — a stem that arrives dry and sits before processing has already spent part of its usable life before the designer touches it.
4. The client's brief is a translation problem before it's a design problem. "Romantic, garden-y, not too pink" isn't a spec — it's raw material for a designer to convert into named varieties, a specific palette, and a mechanics plan, and the conversion is where the actual expertise lives, not in cutting stems.

Mental models & heuristics

• Cost-to-price ratio, not stem-by-stem guessing: when pricing a proposal, default to setting retail price from wholesale cost of goods at a 25-30% cost-of-goods target (SAF benchmark) — a proposal priced by "what feels fair per bouquet" routinely undercharges once real wholesale invoices come in.
• Same-family substitution, not same-look substitution: when a specified stem is unavailable, default to substituting within the same botanical family or bloom-form category (garden rose for garden rose, not garden rose for carnation) unless the client explicitly approves a form change — a same-color substitution across bloom forms changes the arrangement's texture in a way clients notice even when they can't name why.
• Hardy-first build sequencing: when planning the design-day timeline, default to building foundation/greenery elements 24-48 hours ahead and reserving the most perishable blooms (dahlias, ranunculus, garden roses, peonies) for same-day or within-12-hour assembly — building everything on the same compressed timeline treats a 3-day-vase-life bloom the same as a 10-day one.
• Ethylene-sensitive stems get their own cooler zone, unless space genuinely doesn't allow it: default to storing ethylene-sensitive flowers (carnations, delphinium, snapdragons) away from ripening fruit, decaying botanicals, and (short-term) high-ethylene-emitting blooms — a single case of overripe fruit in a shared walk-in can visibly shorten vase life across an entire cooler in under 24 hours.
• Quote the delta, don't absorb it: when a client's requested stem list exceeds their stated budget, default to presenting the specific overage amount with a same-tier substitution priced alongside it, not quietly downgrading quality to hit the number — an unstated downgrade reads as a bait-and-switch at delivery even when the designer intended it as a favor.
• Scale to the room, not to the table. default to sizing a centerpiece or installation against the room's ceiling height and sightlines (a low compact centerpiece disappears in a ballroom with 14-foot ceilings) rather than against how it looks on a single table in the studio.

Decision framework

1. Translate the client brief into named varieties, a locked palette, and a mechanics plan (bouquet style, centerpiece height class, installation type) before pricing anything.
2. Price wholesale cost of goods per arrangement type (stem count × per-stem cost, plus hard goods), then apply the cost-to-price ratio to get a flowers-and-hard-goods retail figure.
3. Add labor (design hours) and delivery/setup/strike as separate line items, not folded into the flower markup.
4. Cross-check the total against the client's stated budget; if over, identify same-tier substitutions or scope reductions and quote the delta explicitly rather than silently downgrading.
5. Confirm wholesale availability with growers/wholesalers close enough to the event date that a substitution decision can still be made calmly, and pre-identify a same-family backup for every variety with real seasonal or weather risk.
6. Sequence the build calendar backward from the event's first-look or ceremony time, building hardy elements first and holding the most perishable blooms for last.
7. Process every incoming stem on arrival (re-cut underwater, into fresh preservative solution, into the correct temperature zone) before it goes into any design queue.

Tools & methods

Communication style

To the client: budget deltas and substitutions stated as a specific dollar figure and a named alternative variety, never a vague "we'll make it work." To the wholesaler/grower: variety, grade, and stem-length specified exactly, with a same-family backup named at order time, not requested after a shortfall is discovered. To the venue/planner: delivery and strike windows stated as exact times tied to their load-in schedule, since a floral team arriving during another vendor's load-in creates a bottleneck that isn't the florist's to solve alone. To the design crew: the build sequence stated in the hardy-first order, with each perishable variety's hold time flagged so nothing sits un-refrigerated past its safe window.

Common failure modes

• Pricing a proposal from wholesale flower cost alone and forgetting to price labor and delivery/strike separately, discovering the real margin only after the invoices are in.
• Locking a design plan to one specific variety with no substitution identified, then discovering at the wholesale order deadline that the variety is unavailable with no fallback ready.
• Building the entire order on the same compressed same-day timeline regardless of each flower's vase life, burning perishable-bloom hours on a build step that could have used hardy stems instead.
• Silently downgrading quality to hit a client's budget instead of quoting the specific delta, creating a mismatch between what was priced and what the client believes they're getting.
• Overcorrection: after being burned by one bad substitution, refusing any substitution at all and forcing a design collapse rather than an availability-driven variety swap the client would have approved.

Worked example

A wedding client's stated floral budget is $6,500 for: 1 bridal bouquet, 5 bridesmaid bouquets, 8 centerpieces, a ceremony arch, and 6 boutonnieres/corsages, for an October wedding in a ballroom with 14-foot ceilings.

Naive read: price the flowers per arrangement, apply a flat "florists mark up 3x" rule of thumb to the wholesale flower cost, quote that number, and treat labor/delivery/strike as covered by the margin.

Wholesale cost of goods (stem count × per-stem cost):

Retail price at 28% cost-of-goods target: $1,116.70 ÷ 0.28 = $3,988.21 for flowers, greenery, and hard goods.

Labor: design build (bouquets, boutonnieres, centerpieces, arch dressing) estimated at 22 hours × $45/hr = $990. Delivery, ceremony-to-reception flip, and strike: flat $450.

Total quote: $3,988.21 + $990 + $450 = $5,428.21 — $1,071.79 under the $6,500 budget.

The naive 3x-flat-markup read (flower cost × 3 = $2,825.10, no separate labor line) would have undercharged by roughly $2,600 once labor and delivery are counted, eating that gap out of margin on delivery day. The expert read prices labor and delivery as their own lines and leaves headroom under budget — headroom the designer uses to upsize the centerpieces for the ballroom's ceiling height rather than quietly pocketing it, since the room was under-scaled at the original centerpiece stem count.

Client proposal excerpt (quoted):

Floral & hard goods (bouquets, centerpieces, arch, boutonnieres): $3,988 Design labor (22 hrs): $990 Delivery, ceremony-to-reception flip, and strike: $450 Total: $5,428, against your stated $6,500 budget.

Note: at your ballroom's 14' ceiling height, the centerpiece height class originally discussed (16" compact) will read small from most tables. I've priced the centerpieces above at a 26-stem tall-arrangement class instead — the $1,072 remaining under budget covers that upgrade with room to spare. If you'd prefer the compact centerpieces and want the difference back, I can requote at the original height class.
